JOB TITLE: Admissions Coordinator
TYPE: Salaried; Non-Exempt
SUPERVISOR: Case Management Director – WTBR
JOB SUMMARY
The Admissions Coordinator is responsible for recruiting, sending and receiving applications, application follow up, and application processing. Responsibilities also include some travel in order to meet with Probation offices, County Judge Offices, School personnel, parents of applicants and hosting gatherings at the Ranch for recruiting purposes. The Admissions Coordinator will also conduct some staff training, as required by TDPRS Licensing.
JOB REQUIREMENTS
- Bachelor’s Degree preferable in social services or education
- Minimum two years relevant experience required.
- Knowledge of TDFPS Standards
- Strong organizational, public relations, and communication skills (written and verbal)
- Ability to multi-task and complete tasks in a timely fashion
- Be able to assess applications and evaluate individual as to their placement at WTBR
- Needs to have an understanding of the dynamics of child abuse and neglect, trauma, and the impact of out-of-home placements of children
- Must be computer literate
- Must have knowledge of the public school system
- Team Player (must be able to work with a team of Caseworkers and Cottage Parents effectively)
PRIMARY JOB DUTIES AND RESPONSIBILITIES
- Assist with WTBR activities, programs and special events as needed
- Participate in referral development activities
- Serve as a professional representative of WTBR in all areas of community relations and networking activities
- Complete a required minimum of 20 hours of annual training including but not limited to:
- Psychotropic Medication
- Trauma Informed Care
- Awareness & Reporting of Child Abuse
- SATORI Aggression Management System
- Transportation Safety
- CPR/First Aid/AED
- Supervises all aspects of the admission process to ensure that WTBR meets TDFPS standards
- Ensures that all applicants fall within the scope of practice of the services provided by WTBR
- Performs and documents all intake screening calls (keep an accurate and complete record of all contacts)
- Provides follow-up on all applications and provides assistance with the application process as needed with parents/guardians
- Provides assistance with the application process as needed
- Composes Admissions Notes for the Admission Committee in pre-placement interview
- Completes and distributes Admissions Assessment 24 hours prior to admission and
- Completes Admissions Placement Agreement and all legal documents required for admission
- Completes Preliminary Service Plan within 72 hours after admission
- Provides a monthly intake report to CEO
WORKING CONDITIONS
This position has Nonexempt status and is structured around a five day (Monday – Friday) / 40 hour work week. However, due to the many demands of boy care, additional / flexible hours and days will be required. This position also requires 24-hr on-call responsibilities for a one-week period which is shared on a rotating basis with four other employees.
Nonexempt employees are covered under FLSA; time approved and actually worked over 40 hours in a work week is eligible for compensatory time.
- All time an employee is required to be at the premises of WTBR is “work time”.
- Leave time is not counted in the calculation of the 40 hour work week.
- Paid time off is NOT Time worked.
- Each work week stands alone.
- The 40 hour work week is not averaged over multiple weeks. (work 44 hours in one week and 36 hours the next week to equal 80 hours for the two-week period)
Job Type: Full-time
Pay: $28,000.00 - $32,000.00 per year
