What are the responsibilities and job description for the Assistant Director of Alumni Engagement position at Western Carolina University?

The primary location of this position is on the main Cullowhee, NC campus.

Reporting directly to the director for alumni engagement, the assistant director for alumni engagement is responsible for assisting in planning, coordinating, and executing measurable activities involving communications, advocacy and volunteerism, resource development, and participation.

The assistant director assists in producing signature alumni events, including Homecoming weekend, Family weekend, new student send-offs, and other events as assigned. This position is a principal coordinator for WCU’s Purple & Gold Reunion event.

In concert with other advancement staff, this position will contribute to the qualification of prospective donors to WCU and its foundation and will maintain an identified prospect portfolio. The assistant director helps identify, support, and manage select alumni volunteers.

Job Duties
Promote strategies, craft marketing communications, and establish best practices that yield increased levels of attendance and participation among identified affinity groups
Manage multiple event production schedules, including the following:
scheduling venue spaces and catering
preparing event briefings and timelines
coordinating communications, including print, email, web pages, social media, and phone/text messages
tracking event registration and attendance
managing volunteers
performing other tasks

Manage class reunions. With the director of alumni engagement, recruit, manage, direct, and motivate alumni volunteers to assist in planning and executing WCU’s Purple & Gold reunion; serve as the principal liaison for reunion volunteers and attendees. In partnership with annual giving, incorporate reunion fundraising goals.
Develop or utilize dashboards and metrics to provide quantitative engagement analysis and reports on engagement activities
Manage an active portfolio of alumni and family society prospects and accomplish face-to-face qualification visits with 150 constituents annually
Complete all appropriate follow-up reporting, stewardship, and processes for prospects
Assist the director of alumni engagement in producing signature events, including Homecoming weekend, Family weekend, new student send-offs, and other events as assigned
Assist the director of alumni engagement in managing and staffing the WCU Alumni Association and the WCU Family Society leadership council
Utilize WCU Alumni Association board members for regional engagement
Represent Western Carolina University to varied constituencies and at all times represent the university in an exemplary and professional manner

Minimum Qualifications
Bachelor’s degree and 3-5 years of experience
Computer, database, and social media proficiency
Experience using Microsoft Office suite
Required to work outside regular office hours, including nights and weekends
Must be eligible for and/or possess a valid North Carolina driver license.

Preferred Qualifications
Professional experience in a higher education setting or an occupation with relationship management, events planning, or communications skills
Experience with constituent relationship management (CRM) systems, particularly Raiser’s Edge
Dedication to high quality customer service
Excellent organizational skills, attention to detail, and follow-through
The ideal candidate will possess a deep knowledge of Western Carolina University and its culture, history, and traditions

Salary : $39,700 - $50,300
