Executive Secretary - Provides administrative support to the Director of Special Education and performs Special Education clerical tasks.1. Prepares and processes correspondence, reports, notices, and recommendations as requested.2. Obtains, gathers, and organizes pertinent data as needed and puts it into a usable form.3. Maintains a regular filing system, as well as, a set of locked confidential files and processes incoming correspondence.4.
Places and receives telephone calls, screens callers and records messages.5. Creates and processes purchase orders and orders and maintains supplies as needed.6. Performs any bookkeeping tasks associated with the specific position.7. Maintains a schedule of appointments and makes arrangements for conferences and interviews.8.
Publishes legal notices concerning district business.9. Prepares executive summaries and reports as needed.10. Maintains confidentiality in all matters related to personnel and other matters of a confidential nature.11. Assists in getting quotes.12.
Prepares budget documents and maintains budget spreadsheet.13. Processes requests from office and clerical staff.14. Maintains a file of out of district placement, services only, and Individual Service contracts and performs tasks related to billing and budget requirements. 15.
Maintains a spreadsheet to monitor the implementation of the IEP process for students placed out of the district and parentally placed private school students including scheduling meetings, sending notices with sufficient advanced notice, communicating with Team members regarding meetings out of the realm of the routine IEP meetings and all other IEP activities in compliance with the WCS Special Education Procedure Manual.16. Collects and provides information to the districts transportation coordinator for eligible students with special transportation on the IEP, may arrange for supplemental services, and receives and processes incident reports. 17. Performs duties associated with ensuring the provision of education to homeless and foster care students residing in Westport including collaboration with city/town sharing responsibility, transportation services and billing, public postings, collecting data, and reporting to state homeless managers are requested.
