Job Overview:
This position is responsible for meeting the daily, weekly and monthly administrative needs of the branch location. 

MAJOR RESPONSIBILITIES:

  1.  Answer high volume of incoming customer calls.
    Open service orders as needed in the computer system.
  2. Close service orders for billing upon completion of order using the computer system.
  3. Assist in resolving customer problems/complaints.
  4. Check parts in and out of inventory at the branch location to ensure accurate inventory control.
  5. Insure return of warranty parts to corporate warranty department.
  6. Ship and receive parts and equipment for the branch.
  7. Keep parts stock clean and organized.
  8. Generate accurate purchase orders for parts to corporate office and outside vendors.
  9. Perform perpetual inventory as required and assist in annual inventory.
  10. Run daily and monthly reports. Submit reports as required to corporate office.

 ADDITIONAL RESPONSIBILITIES: 

  1. Provide technicians with any necessary information needed for their service calls.
  2. Route parts calls as necessary.
  3. Maintain clean and professional office environment.
  4. If necessary, work with factories in obtaining correct parts for service needs.
  5. Performs other duties as required.

 CONTACTS:

  •  Internal – Daily with service technicians; occasionally with corporate staff at all levels.
  • External – Frequent and regular contact with customers.

 MINIMUM QUALIFICATIONS:

  •  A High School diplomas or the equivalent in experience.
  • 1-3 years of previous administrative experience combined with 2 years of computer experience.

 SKILLS, ABILITIES AND OTHER REQUIREMENTS:

  •  Strong windows based computer skills including Microsoft Word and Excel.
  • Good verbal and written communication skills combined with good interpersonal skills.
  • High level of accuracy.
  • Strong attention to detail.
  • Ability to handle multiple tasks simultaneously including multiple incoming phone calls.
  • Typing speed of 50 WPM or better.

 WORKING/ENVIRONMENTAL CONDITIONS:

  • Parts/Stock room and office environment.
  • Some lifting up to 50 pounds may be required.
  • Some twisting, bending and stooping associated with stocking of parts.
  • Some computer usage (mouse and keyboarding) approximately 30%-50% of time.
  • Some local travel for parts delivery and pick up may be required; additional infrequent travel to corporate office.
