Position Summary

Working as part of the Events Management team, you will plan and execute internal and external client-facing events both in person and virtually for the purpose of business development and Firm-wide initiatives. This includes events throughout the Americas, as well as potential travel around the globe. You will work with and support the Americas Events team and the Global Events Team on the development and implementation of an overall best practice approach to event management on behalf of the Firm.

Duties and Accountabilities

  • Work with stakeholders and other internal departments to develop, implement and measure a best practice approach.
  • Plan and execute a diverse portfolio of both in-person and virtual events, inclusive of, but not limited to, the following: Client-facing events; thought leadership seminars; internal engagement events; internal training and recruitment programs
  • Lead the implementation of logistics to achieve event objectives by establishing goals, responsibilities and budgets in advance and setting up formal pre- and post-event analysis, including final attendance numbers, budget summaries and client and lawyer feedback.
  • Work alongside the marketing team and other internal departments to ensure stakeholders are kept up to date with event progress. In addition, ensure that event budgets are vigorously adhered to and tracked and goals and objectives are met for each event.
  • Ensure that client contact information is properly stored in our CRM system, InterAction, where appropriate.
  • Strategize and identify event-based business development opportunities.
  • Establish close affiliation with industry and professional associations and venues to ensure the Firm receives maximum value for receptions, dinners and external conferences.
  • Work with the Procurement team and partners to ensure that all vendors/suppliers and contracts are managed appropriately and the Firm receives the best possible level of service at all times.
  • Responsible for researching, sourcing, negotiating and contracting venues and suppliers.
  • Work with relevant internal departments, including Concierge, AV, Creative Services and Marketing/Business Development to ensure that the use of in-house resources are treated as a “preferred supplier” wherever possible.
  • Strong confidence managing virtual events on multiple platforms and working closely with our technology team.
  • Responsible for managing department projects and constantly initiating and developing better processes to improve department profile, function and efficiency.
  • Manage the production of in-person and virtual events including: research, presentations and site visits; contract negotiations and vendor relationship management; client-facing and lawyer-facing event communication; budgets; collateral; on-site event management including overall logistics and time management; hotel room block management; travel management for large regional and global conferences, post-event follow-up and ROI tracking
  • Act as an ambassador of the Firm and its core values at all times

Qualifications

  • Bachelor's Degree
  • 5 – 8 years in a professional services firm preferred
  • Must be available to work evenings and weekends
  • The position may require travel; domestically and internationally as necessary
  • Strong knowledge of vendors and venues
  • Team player with a “can do” attitude who demonstrates resourcefulness
  • Ability to build strong relationships with internal and external stakeholders
  • Ability to work independently and in a team dynamic and be able to meet deadlines and perform well under pressure
  • Excellent communications skills
  • Strong organizational, analytical, interpersonal skills required
  • Knowledge of CRM, and virtual event platforms preferred

Location & Reporting

  • This role will be based in New York, NY.
  • This role reports into the Client Communications & Events Manager and Global Director of Events.
