At White Orchid Spa, we believe that a positive guest experience has the power to transform someone's entire day. The Spa Coordinator is an integral part of this team effort, ensuring that each guest feels welcome through their in-person interactions and through providing consistent critical behind-the-scenes support.
Our ideal candidate has a calm and relaxed but professional demeanor and is familiar with the various relaxation and medicinal treatments we offer. Prior experience in a spa is desirable, but we will train very motivated applicants in the right circumstances.
Please read before applying: This position is for full time hours. One weekend day (Saturday/Sunday) is required, and shifts are 8:30-6:30 pm.
Professional Objective: To perform all position responsibilities according to the spa program manual. Greet and welcome spa guests and assure an excellent first and lasting impression. Oversee and maintain the spa and assure beautiful presentation. Communicates with managers and coordinates work activities and guest flow within the spa. Display masterful knowledge of spa services and products to effectively close sales on treatments, products, packages, gift cards, and memberships. The position does include some housekeeping of the entire facility, ensuring laundry & restocking procedures are followed, as well as opening and closing procedures to ensure daily operations run smoothly for guests and team members.
Responsibilities and Duties
Job Activities and Responsibilities:
- Maintains excellent customer service skills
- Maintains the reception area and boutique
- Greets guests promptly with a smile
- Reservations – Answer phone, book appointments, confirmations
- Assists with stocking and maintaining the spa boutique
- Assists with maintaining cleanliness throughout the spa
- Accurately enters the point of sale data and efficiently checks guests out
- Familiar with spa boutique inventory
- Promotes spa services and gift cards/certificates
- Maintains a beautiful physical environment within reception and common areas
- Facilitates effective workflow for technical staff
- Attends and participates in all general and team meetings
- Maintains a polished and professional image and vocabulary
- Assists other support team members when asked
- Attends all in house training and commits to outside continuing education
- Participates in all aspects of marketing/special events planning and execution
- Ability to efficiently communicate with guests
- Opening and closing procedures, general housekeeping duties to be rotated throughout the week
Desired Qualifications :
- Experience in front line guest service in a spa, salon, or medical spa
- Strong interest in the skincare, beauty, and wellness industries
- High school diploma or equivalent
- Strong computer skills and aptitude for mastering the spa software
- Confident personality and strong selling abilities
- Flexible schedule and ability to work 30-40 hours per week
- Professional image with a gracious, warm, and genuine personality
- Good organizational skills and follow-through
- Able to multi-task and improvise on the spur of the moment

- Open scheduling availability is a must. Many of our shifts are during evenings and weekends, and we are often busiest around the holidays.
