The Records Retention Specialist will be responsible for the effective management, security, and integrity of all agency records related to people served, employees, and operations of Wildwood. This includes: HIPAA, Medicaid, OPWDD, NYSED, and agency-specific policies.

A valid New York State Driver’s License and ability to drive and driving record acceptable for agency insurance coverage are required.

Requirements
- Degree or certification in Records Management, Health Information Management, or related field preferred.
- Minimum of 3 years of experience in records management, preferably in a healthcare or human services setting.
- Familiarity with HIPAA, FERPA, Medicaid documentation standards, OPWDD, and NYSED.
- Computer skills: Word processing, Google suite; E-mail and database software.

Summary
The Records Retention Specialist will be responsible for the effective management, security, and integrity of all agency records related to people served, employees, and operations of Wildwood. This includes: HIPAA, Medicaid, OPWDD, NYSED, and agency-specific policies.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Develop, implement, and monitor retention systems and procedures for both paper and electronic records with respect to individual’s records, employee records, and operational records; in accordance with Medicaid, HIPAA, and state regulations.
- Develop and Oversee electronic scanning of paper documents into an electronic data base.
- Develop and Monitor compliance with retention schedules and ensure timely archiving or disposal of records.
- Ensure litigation holds are placed on records, per legal requirements and agency policy.
- Collaborate with department leadership to ensure a process of archiving records for storage at the end of the calendar/fiscal year.
- Train staff on record storage and retention protocols.
- Serve as the primary point of contact for record requests; such as for subpoenas, fiscal and/or regulatory audits.
- Oversee secure storage systems for all archived records.
- Manage access controls and ensure that only authorized personnel can view or handle sensitive information.
- Collaborate with HIPAA Privacy, HIPAA Security Officers as needed.
