Essential Functions:
William Raveis Insurance, VP of Operations, will oversee the daily operations of a $40 million premium volume agency with a footprint in eight states. The VP will collaborate with the Principal, CSR Manager and Regional Sales Leaders in the management of the agency staff, procedures, and workflow to develop a successful agency with an eye to the future. Working in partnership with over sixty insurance companies, there is a wide range of responsibilities and required skills including, but not limited to:
- Problem-Solving. The VP of Operations will handle and settle escalated and complicated customer service and internal staffing issues.
- Business Management. Make informed decisions that not only protect but contribute to the long-term success of the agency. Ensuring that Agents are acting in the best interest of both the agency and our clients.
- Data Analysis. The ability to collect, analyze and present data to executives in a way that they can understand and learn from. Make necessary recommendations for improvement and growth.
- Technological proficiency. The ability to not only navigate all platforms related to an insurance workplace but also proactively investigate future software needs.
- Strong communication skills. The ability to correspond effectively with all members of the team, executives, and other internal departments.
Depending on the candidate, some responsibilities and oversight may include:
- Manage admin team, assist in managing Sales Producers, Production Assistants/ Service Staff.
- Oversee Administrative/CSR team including training, procedures, and career development.
- AMS software management – Administrator, carrier data, reporting.
- Ivans Administrator – download.
o Policy downloads and accounting downloads.
- Carrier Administrator - 80 different companies across multiple states.
- Onboarding of new hires:
o Carrier/software logins and appointments
o Marketing Materials/website set up/equipment.
o AMS training
- Monthly New Business Production Report including gross commissions and cancellation chargebacks.
- Monthly Capture report for Real Estate and Mortgage/Quarterly results
- Calculate and process Producer/CSR commissions.
- Monthly Insurance Stats
- Onboarding of new carriers – application, contract, setting up
- Reconciliation of carrier Direct Deposits
o Code – document and reconcile in AMS and externally for accounting department.
o Reconcile commission statements associated with deposits.
- Reconciliation of carrier commission checks
o Code – document and reconcile commission statements and input into AMS then make deposit for accounting department.
- E&O policy maintenance/processing of renewal application.
- Concur approvals of agency vendors and staff invoices.
- Oversee Winback campaigns/missed Romio deals/monoline policy solicitations.
- Accounting check requests – approval and reconciliation in AMS.
- Agency and Employee licensing management
- CSR renewal management
o Manage renewal monthly spreadsheets, gap reports, monitor retention.
- Marketing
o Work with Marketing Rep for social media content, weekly meeting slides, marketing materials, etc.
- Year End Reports
o Throughout the year collect then report data for annual reports, Realty Alliance, Profit sharing, etc.
- Work with Agency Principal to anticipate needs of Agency and Staff.
- Compile miscellaneous reports/date analysis as requested by Agency Principal and/or President.
- Handle Insurance Commissioner issues/Carrier escalated issues/E&O claims.
- Create processes and procedures along with service manager and regional managers for staff.
