The Associate Production Manager reports to the Production Manager. Duties include but are not limited to:
- Daily operations of the production department and supervision of its staff during the festival season including all prep, load-ins, techs, rehearsals, meetings, performances, and strikes.
- Coordinating the execution of all production elements directly with designers through review and feasibility determination of the submitted designs.
- Tracking department budgets, materials purchasing, and equipment maintenance.
- Communicating with other production departments and entities outside of the Festival such as Williams College, vendors, patrons, etc.
- Ensuring that proper safety practices are maintained in any facilities used by department staff.
- The creation of paperwork as required by Festival productions both in physical and digital form.
- Coordinating the Festival season load-in and load-out, including set-up and strike of workspaces, counting in and out of equipment, and storage of items for off-season.
- Working with the Production Manager and Director of Production to monitor the schedules and budgets of all production departments at the festival.
- Coordinate the logistics of the day-to-day operations of the Festival including calendar bookings, fleet vehicle maintenance and usage, purchasing supplies, PO approvals, First Aid and safety protocol, mail delivery systems, equipment tracking, and scheduling.
- Serve as Production Manager for productions as assigned, with duties to include: the scheduling and leading of production meetings, the creation of load-in, changeover and strike schedules, oversight of technical rehearsals and notes calls, and facilitating communication between production staff and creative team members.
- Following all Festival safety protocol.
- Support the work and success of lower-level personnel in the department by reviewing and editing paperwork, providing guidance on best practices, and sharing professional experience.
- Customarily and regularly directs the work of two or more other employees, and whose suggestions and recommendations as to the advancement, promotion, or any other change of status of other employees are given particular weight.
