Women's Care, Inc. is a busy OB/GYN private practice office seeking a Full Time Front Desk/Appointment Scheduler. This position would be working 5 days a week from 8AM to 5PM within the Monday thru Friday work week.
Front Desk
GENERAL SUMMARY: The Front Desk is responsible for greeting incoming patients, entering pertinent information, including insurance and demographics. Schedules any required follow up appointments according to the providers orders.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Greets patients upon arrival to the practice.
· Verifies or updates patient’s demographics including address, phone, email, patient portal.
· Verifies or updates primary care physician.
· Scans cards and enters insurance information.
· Verifies all insurance is active
· Collects co pays and payments
· Adds flags to chart where appropriate (OBR/Copays, etc.)
· Scans Identification into system.
· Has patient complete required documents. (HIPPA form, ABNs)
· Schedules patient for future appointments.
· Enters recalls for patient Schedules patient for future appointments.
· Fax records to PCPs when needed.
· Completes daily task list.
· Collects information and payment for FMLA paperwork from patients.
· Schedules and collects fees for patients participating in Labor & Delivery and Breastfeeding classes.
· Reschedules patients when needed.
· Send letters to patients regarding no shows.
· Print out letters verifying appointments for patients.
· Provides excellent customer service to all patients.
Appointments
GENERAL SUMMARY: The Appointment Setter is responsible for answering the main phone line of the practice, scheduling appointments or directing the call to the appropriate extension.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Answer all phone calls to main line.
· Direct incoming calls to the proper extension.
· Schedule appointments in accordance to office protocols.
· Verify/enter patient demographics into computer.
· Verify/enter patient insurance information into computer.
· Monitor/answer voicemails.
· Complete assigned tasks in EMR.
· Communicate with the Insurance department when entering new insurance into computer.
· Reschedule patients when needed.
· Communicate with Medical Records regarding new patients
· Other duties as assigned
EDUCATION/EXPERIENCE:
· High School Diploma or GED required.
· Medical Terminology required
· Prior administrative or customer service experience, preferably in a medical office.
· Strong communication skills, both written and oral preferred.
· Data entry skills and experience preferred.
· Attention to details with the ability to problem solve.
