Position Title: Front Desk Receptionist
Location: Princeton, NJ
Role Overview
As the first point of contact for our practice, the Front Desk Receptionist plays a vital role in shaping our patients’ experience. You will coordinate patient flow, manage communications, and support clinical and administrative teams to ensure smooth, efficient operations.
Key Responsibilities
- Patient Interaction & Check‑In/Out
- Greet patients warmly and professionally upon arrival
- Verify and update patient demographics, insurance information, and collect co‑payments
- Check patients in/out using Athena EHR, ensuring accuracy of appointment status
- Communication & Scheduling
- Answer multi‑line phone system, triage calls, and route to appropriate team members
- Schedule, confirm, and reschedule patient appointments and procedure bookings
- Send appointment reminders via phone, email, and SMS; follow up on no‑shows
- Administrative Support
- Maintain daily appointment logs and provider schedules
- Scan and upload documentation (e.g., insurance cards, IDs, referral forms) into EHR
- Coordinate referral authorizations and prescription refill requests as directed
- Manage incoming/outgoing mail and courier packages
- Office Management
- Ensure front desk area is orderly, stocked with patient forms, and compliant with HIPAA
- Liaise with clinical staff to communicate schedule changes, emergencies, and room availability
- Support billing team by flagging eligibility issues and prior authorization needs
Qualifications & Experience
- High school diploma or equivalent; Associate’s degree or relevant certificate preferred
- 1 year of front desk or customer‑service experience in a medical or healthcare setting
- Proficiency with Athena (or similar) EHR systems and Microsoft Office Suite
- Familiarity with medical terminology, insurance verification, and prior‑authorization processes
