Purpose and Scope
Workforce Essentials supports adult learners in achieving the high school equivalency diploma, improving foundational or technical skills, or gaining command of the English language. The Student Coordinator works closely with the County Coordinator and Instructors to ensure the program’s goals are reached in compliance with federal law and state directives.
The Student Coordinator provides a variety of administrative duties in support of the Adult Education program. The position interacts with all staff and supports student registration, orientation, instruction, and testing. The student coordinator is responsible for the timely entry of student data into Jobs4TN, and for data entry for Workforce Essentials internal tracking systems.
Core Responsibilities
1. Program Management & Compliance
· Maintains timely data entry of all student attendance records in Jobs4TN and the Workforce Essentials internal tracking systems in compliance with state and federal policies and guidelines.
· Schedules and assists with student registration, assessment, orientation, counseling, and graduation.
· Assist County Coordinator by providing any requested reports in a timely manner.
· Assists with scheduling, scoring, and proctoring required tests (CASAS, OPT and TABE), including remote proctoring.
· Maintains class, staff, and event schedules.
· Always maintains data integrity and test security at all locations.
2. Staff Development & Support
· Attend monthly Workforce Essentials Student Coordinator meetings.
· The Student Coordinator utilizes the resources provided including the county trackers and Jobs4TN to enter data and analyze trends.
· Provides motivation, development and encouragement to students during interactions, fostering a positive educational environment where students are actively involved in learning.
· Attends state sponsored Student Coordinator training as appropriate/ required.
· Is actively engaged is his or her professional development.
3. Instructional Support
· Review weekly attendance records and discuss any trends that will negatively impact student performance with the County Coordinator.
· Run attendance reports or other data as requested by instructors.
· The Student Coordinator will be available to assist instructors with class preparation as needed in relation to test preparation. (Example: Making student copies of test strategy handouts.)
· Meet with instructors to inform them of students who are nearing post-test hours to plan test dates and allow for pre-test strategy planning to help students succeed.
· Organizes and maintains confidential files, student files, and report documentation.
4. Community Engagement & Partnership
· Develops relationships that promote Adult Education in each community in the district as requested to support local program goals.
· Assists the County Coordinator to develop and implement outreach and student engagement plans.
· Develops relationships with local AJC staff to create an effective referral process
5. Data & Performance Tracking
· Attend and participate in state training as requested.
· Enter/correct attendance within the 10-day window.
· Update and correct Tracker weekly to align with Jobs4TN reports.
Qualifications
· High School Diploma or High School Equivalency Diploma Required
· Work experience in customer service or in an administrative support role is preferred.
· Strong written and oral communication skills and customer service skills are needed.
· Sense of urgency in meeting deadlines and strong organizational skills are required.
· Requires professional demeanor and an orientation toward accepting new tasks and responsibilities
· Ability to accurately and efficiently utilize data entry software is necessary.
· Must be proficient in organizational and analytical skills.
· Knowledge of Microsoft Office programs to include Word, Excel, Power Point, Outlook, and Google Suite is important.
· Ability to operate general office equipment (copier, scanner, multi-line phone system) is important.
· Must attend orientation and security training prior to working if assigned to work in a correctional facility.
· Data management or accounting experience is preferred.
· Travel to satellite locations will be expected.
· General knowledge of test security and test proctoring is ideal.
· Ability to communicate clearly and concisely, in writing and orally to include preparing and presenting information to large and small groups is ideal.
Additional Knowledge
· Adult Education Experience highly recommended.
· Exhibits professional and ethical behavior standards when interacting with students, staff, and community to include dress, speech, and manners.
· Accountable, self-motivated, and able to work independently with minimal supervision.
· Demonstrates excellent leadership and management skills. Ability to motivate, develop, and inspire a team is essential to this position.
· Proven analytical, organizational, and time management skills to include the ability to accomplish deadline requirements are essential to this job.
· Compelling leadership style that includes significant skills in communication, people management, program management, strategic planning, and problem solving.
· Must have reliable transportation, valid driver’s license, good driving record, and maintain vehicle insurance.
Position Type & Expected Hours of Work
· This is a salaried exempt, full time position based on 37.5 hours per week.
· Normal hours of work are 8:00 am until 4:30 pm, Monday through Friday.
· This position requires flexibility to modify the work schedule to include some evening class instruction, testing, or observation, and occasional weekend hours due to events and graduation schedules.
