Overview
WS Development is seeking an Assistant Property Manager (APM) who will be responsible for managing a portion of WS’ District portfolio in the Seaport of Boston. The APM will play a central role in successfully transitioning new retail assets from initial construction to occupancy and maintaining established assets in a Class A manner. The portfolio is located within shared towers throughout the Seaport footprint and includes ten separate buildings comprised of 60 retailers (approximately 500,000 SF of retail), a parking garage and several surface parking lots. This role will report to the Seaport District, Property Manager with frequent interaction with interdisciplinary team members including Marketing, Accounting, Tenant Construction, Engineering and Facilities. This is very much a team environment, so a positive attitude, a desire to learn and contribute and an ability to work well with others are all prerequisites to success in this role.
Key Position Responsibilities
Financial Management:
- Assist with the creation of CAM budgets, variance reporting, and the reconciliation process.
- Collaborate with facilities, engineering, and accounting to produce monthly/quarterly invoices for tenant utility recoveries and billbacks.
- Oversee the accounts payable process and track and report all accounts receivable.
Administrative Management:
- Facilitate the contract management process; solicit RFPs and bids, supervise contract documents, and monitor contract obligations.
- Monitor and track work orders through close collaboration with Property Management team members.
Condominium Partnerships:
- Attend monthly meetings with condominium partners in the portfolio.
- Facilitate communication with third party management teams through the preparation of meeting agendas, meeting minutes, and tracking of outstanding action items.
- Assist with the review of condominium financials and monthly reports.
Maintenance and Operations:
- Inspect tenant space, common areas, base building areas and grounds to ensure a high level of maintenance.
- Regularly interface with internal staff and contractors to ensure scopes of work are accomplished and appropriate documentation is maintained.
- Participation in on call rotation for afterhours/weekend response as required.
Tenant Relations:
- Promote, establish, and maintain positive relations with tenants via regular proactive communication, meetings, and routine follow-up in close collaboration with the Property Manager.
- Arrange, coordinate, and attend welcome meetings for new tenants to review welcome packages, move-in requirements, rules & regulations, and general property information.
- Bachelor's degree required.
- 3 years of property management experience required. Urban or retail property management experience preferred.
- Excellent oral, written, and interpersonal skills.
- Ability to work in a fast-paced environment and an adaptability to change.
- Excellent problem-solving skills.
