Job Summary

An experienced administrative professional is needed to provide high-level operational support within the Base Capital Projects group of the Energy Supply organization. This role is essential in coordinating day-to-day project administration activities and supporting a dynamic team of engineers and construction professionals. The ideal candidate will be organized, detail-oriented, and adept at managing multiple systems and priorities simultaneously, ensuring that the team operates efficiently across various sites and capital initiatives.

Responsibilities

  • Serve as the timekeeper for the team—manage and submit timesheets accurately using Workday.
  • Monitor and process expense reports and travel coordination through SAP Concur.
  • Support employee onboarding by coordinating with IT, HR, and other departments to ensure new hires have the tools and access needed.
  • Create and manage SharePoint project sites to initiate automated workflows for new capital projects.
  • Coordinate with other departmental administrators to ensure smooth communication and consistency across projects.
  • Assist with scheduling, meeting coordination, and general administrative tasks for the Energy Supply Projects group.
  • Maintain project documentation, reports, and records with accuracy and confidentiality.
  • Support project kickoffs, construction team communications, and other group activities as needed.

Skills

  • Proficiency with Workday, SAP Concur, and SharePoint is highly preferred.
  • Strong command of Microsoft Office 365 (Excel, Outlook, Teams, Word, PowerPoint).
  • Excellent organization, communication, and follow-up skills.
  • Ability to handle multiple priorities and deadlines with minimal supervision.
  • Strong attention to detail and proactive problem-solving.

Qualifications

  • 5–7 years of administrative or project support experience, preferably in engineering, utilities, or construction environments.
