JOB DESCRIPTION
Xenophon is seeking an experienced nonprofit professional to lead all aspects of our organization. The Executive Director will manage a team of staff and volunteers to ensure the smooth day-to-day operations of our center. Working with the Board of Directors, the Executive Director will build the strategy and vision for Xenophon’s future, taking an active and creative role in shaping the impact of the organization for years to come.
RESPONSIBILITIES
Management & Leadership
- Oversees the Xenophon organization as a whole including staff, instructors, volunteers, etc.
- Fosters an organizational culture of safety and support for all staff, instructors, volunteers, and families.
- Works with the Board and staff to develop a multi-year strategic plan defining the future direction of the center.
- Works with the Board and staff to develop an annual operating plan in accordance with a multi-year strategic plan.
- Develops and shares annual surveys of staff, instructors, volunteers, and families.
- Maintains compliance with all state, federal, PATH, and employee-related statutes.
Finance
- Manages organizational operating budget in partnership with Board Treasurer.
- Recommends an annual operating budget for board review and approval.
- Maintains sound fiscal management system including budgeting, accounting, reporting and auditing activity.
- Oversees bookkeeper.
- Oversees bills payments, AP/AR, insurance, payroll, etc.
- Maintains appropriate policies and procedures, internal controls, etc.
Fundraising & Marketing
- Ensures adequate funds are raised to operate the organization and to maintain a solvent financial position.
- Develops and carries out a strategic fundraising plan.
- Cultivates and maintains relationships with donors and potential donors.
- Makes presentations to funding organizations and local groups, including participating in local chambers and other relevant business organizations .
- Writes and submits grant proposals.
- Co-Chairperson of annual fundraising event.
- Develops and organizes additional fundraising activities.
- Supervises the development and implementation of a public relations strategy.
- With Board President, is the lead spokesperson for the organization.
- Oversees maintenance of website and social media.
Board Governance
- Aids in recruitment of Board of Directors.
- Advises Board on policy and strategic matters and ensures that the Board has accurate and up-to-date information to provide necessary oversight and strategic input.
- Proactively keeps the Board fully informed of relevant personnel, financial, programmatic, and related matters that significantly affect the ability of Xenophon to carry out its mission.
- Works in conjunction with the Board President.
- Shares results of surveys with the Board annually.
Program
- Supervises the Program Director’s planning, development, implementation, and evaluation of programs.
- Conducts periodic evaluations of the administrative and program operations.
- Attends the annual PATH Conference with staff and instructors.
Personnel
- Has regular check-ins with Program Director, Barn Manager, and is available to staff as needed.
- Hires new staff and instructors with input from the Program Director.
- Conducts annual performance evaluations of the Program Director and Barn Manager.
- Assists with staff evaluations performed by the Program Director.
- Is responsible for any terminations, offboarding, exit interviews, etc. as needed.
- Maintains a collaborative, positive culture that attracts and retains staff and volunteers
Operations & Systems
- Oversees physical site and safety at Xenophon.
- Ensures relevant staff and volunteers maintain and replace physical assets as needed.
- Oversees all digital systems/softwares and ensures appropriate staff and volunteers have necessary access.
- Evaluates and updates new systems/softwares as needed.
ROLE QUALIFICATIONS
- 10 years relevant experience (horse experience is not required, but must be comfortable around equines and have a willingness to learn).
- Track record of securing donations from individuals and foundations to meet fundraising goals.
- Exceptional interpersonal skills.
- Strong verbal and written communications skills and ability to be an inspiring speaker.
- Ability to hold a long-term vision while executing tactically in day-to-day operations.
- Excellent organization skills, detail orientation, and capacity to manage a high volume of work.
- Confident in leading others and setting a standard for persistence, integrity, safety, and creativity.
- Passion for Xenophon’s mission and a foundational commitment to diversity, equity and inclusion.

COMPENSATION
The salary for this role is $100,000.
LOCATION
Xenophon is located in Orinda, CA and you will be expected to attend in-person most days.
