POSITION SUMMARY: The Director of Recruitment and Registration will play a critical role in shaping the culture  and building the foundation for SKY Academy. The Director will forge strong relationships  with parents and community leaders to drive the marketing and branding of SKY Academy  in the broader community, while also continuing to build the school enrollment for SKY  Academy. This position will be the part of the school administration team and work closely  with the SKY Board, Principal, and school leadership to make its vision for student success a  reality.
This position will require the utmost level of discretion and confidentiality, as this employee  will have access to student files and other related institutional documents that are  confidential.


ESSENTIAL FUNCTIONS:  The Director will oversee all aspects of student recruitment and registration. Responsibilities  include but are not limited to the following: 


Registrar:

  • Performs all administrative functions related to enrolling and withdrawing students
  • Type memos and letters as requested; requests student records; maintain health records, maintain automated attendance records.
  • Requests for records and grades from other schools for current student files.
  • Inputs student information into the school district’s student information systems.
  • Create new accounts and passwords for families.
  • Collects, compiles, and type school attendance reports or other materials, frequently requiring independent action and discretion on problems encountered, types and  processes student registrations, absentee lists, tardy slips, etc.
  • Prepares School District reports for FTE, minutes, missing data and survey edit  reports.
  • Responds according to student record requests.
  • Compiles information from SIS for Finance and VP of Child Development on a weekly  basis and as requested.
  • Ensures that SKY Academy is compliant with all state requirements related to student enrollment for open-enrollment charter schools.
  • Ensures compliance with SKY Academy and Sarasota County Board rules and  applicable federal laws and regulations.

New Student Recruitment: 

  • Develops and implements a year-long strategy to increase enrollment at SKY Academy schools.
  • Build a network of “parent ambassadors” who will assist with community outreach and student recruitment in the community.
  • Meet with parents one-on-one and in small groups to build relationships and encourage current SKY Academy parents to help in the student recruitment  process.
  • Forge strong relationships with current SKY Academy students and parents who are ambassadors for SKY Academy in the community.
  • Attends and is active at community events that will help promote SKY Academy  schools.
  • Attend community events hosted by local Chambers of Commerce,  governments, churches, YMCA’s and other related organizations.
  • When possible, staff a booth or information table at community functions to meet families and spread the word about SKY Academy.
  • Invite local community leaders to tour the SKY Academy campus and  schedule opportunities for leaders to meet with school leadership and connect further with the school.
  • At critical times of “high traffic”, visit various home communities, businesses, and other community centers to create further interest and excitement for SKY Academy.
  • Develop and manage an open house/tour schedule for families to visit the campus and learn more about what SKY Academy will offer: Manage the program elements and printed materials related to the  Open House events.
  • Schedule time with school leadership and coordinate the program for Open Houses.
  • Develop and implement community events at SKY Academy’s that help attract new students and families.
  • Create processes and metrics related to touring, follow up on leads, withdrawals, and  overall success of recruitment.
  • Working with Principals, Association Marketing and VP of Child Development, creates and implements our year-long marketing plan to ensure we continue to stay relevant.
  • Work closely with the Technology Coordinator to update social media accounts and websites for SKY Academy, manage the lottery application portal for SKY Academy, and manage the family admissions for SKY Academy.
  • Provides outstanding customer service and uses positive interpersonal communication skills: Give information and assistance to students and the public—in person or by  telephone—applying significant knowledge of school rules, regulations, and  procedures to interpretations made using positive interpersonal skills.
  • Make all decisions and perform all tasks in accordance with SKY Academy and the SKY YMCA’s Organizational Values.
  • Other responsibilities as required and assigned.  

Requirements

QUALIFICATIONS:  The ideal candidate will possess the following qualifications: 

  • Bachelor’s Degree from an accredited college or university.
  • Must be strategic and creative, while also having strong relationship skills.
  • Must possess strong written and oral communication skills.
  • Experience working in an education setting.
  • Strong project management skills and the ability to juggle multiple projects at once.
  • Personal experience navigating school choice opportunities.
  • Experience in school recruiting/admissions.
  • Background in marketing/communications and familiarity with social media content management.

CERTIFICATIONS AND TRAINING REQUIREMENTS: 

  • CPR, First Aid, and AED certifications required.
  • Annual completion of YMCA Blood Borne Pathogens Training.
  • Annual Completion of YMCA Child Sexual Abuse Prevention Class.
  • Comprehensive understanding of Staff Safety Requirements/Cleaning Protocols.
  • Additional training classes as recommended by Supervisor

  • Lifting to 50lbs.
  • Climbing, sitting, standing, pushing, walking, kneeling, and stooping.
  • The noise level in the work environment is moderate to high.
  • Tolerate heat and humidity for extended periods of time.
  • Must be able to be outdoors for major portions of the day.
