What are the responsibilities and job description for the Administrative Assistant position at YWCA of Kauai?
Function: Provide excellent customer care to clients and operate multi-line phone system. Provide administrative support to YWCA programs and administration.

Specific Qualifications:

10. Comprehensive understanding of issues related to domestic violence and sexual assault.
Education & Technical Skills:
1. High School Diploma/G.E.D. minimum, AA Degree preferred.
2. Skills with computers and Microsoft applications for data entry and word processing. Experience with Canva for graphic design preferred.
3. Experience collecting and reporting data.
Responsibilities:
1. Work 40 hours per week with flexible schedule.
2. Answer phone calls on a multi-line telephone system, respond to inquiries on a web- and text-based chat and support walk-in clients; provides client-centered and trauma-informed response while providing information and referral to appropriate resources.
3. Take ownership of telephone and voicemail systems via managing extensions, greetings and training user guides.
4. Have basic knowledge of, or willing to be trained on, crisis response to apply tools based in training on Trauma-Informed Care, such as empathic listening, non-judgment and de-escalation.
5. Provide general office and clerical support to program staff.
a. Maintain and type routine correspondence to include reports as requested.
b. File correspondence.
c. Do copying as needed.
d. Inventory management of all office supplies
e. Date stamp and distribute mail.
f. Manage agency calendar and conference room usage.
g. Keep all agency brochures, phone lists and organizational charts up-to- date.
6. Collaborate with Assistant director in producing quarterly newsletter and other publications as needed.
7. Assist with social media graphics and postings as requested.
8. Assists with Camp Sloggett reservations, calendar, and notification to camp caretakers as needed.
9. Oversee membership files and other mailing files in Access.
10. Light organization and tidying of Women’s Center.
11. Close up office at end of the day, ensuring that windows and doors are shut and locked, and all air conditioners are turned off.
12. Disperse and reconcile petty cash amounts for the administration, Kamalani and other accounts as identified. Makes bank deposits as needed.
13. Complete other administrative tasks as needed for the efficient operation of the Agency.
14. Assist with agency fundraisers, and campaigns and events designed to raise awareness and educate the community about domestic violence, sexual assault and social justice issues.
15. Maintain records and statistical reports as required by agency policy, funding contracts, and state/federal regulations.
16. Complete all other duties as assigned.
Additional Requirements:
1. Valid Hawai‘i driver’s license, vehicle and proof of insurance. Willing and able to travel around the island to procure items for agency as needed.
2. Able to maintain client confidentiality.
3. Available on weekends and evenings, occasionally, for events and fundraisers.

Pay: $17.00 - $19.00 per hour
