GENERAL INTRODUCTION:
The Archbishop, visible principle of unity in his archdiocese, is called to build up the particular Church unceasingly in the communion of all its members, and to ensure that their diverse gifts and ministries, in union with the universal Church, serve to build up all the faithful and to spread the Gospel. (Apostolorum Successores 8). He must take care that all the affairs which belong to the administration of the whole archdiocese are duly coordinated and are ordered to attain more suitably the good of the portion of the people of God entrusted to him." (Apostolorum Successores 177).

GENERAL SUMMARY OF ESSENTIAL PURPOSE:
Under the direction of the Executive Director of Development and Stewardship, the Administrative Coordinator is responsible for managing a diverse and complex set of administrative tasks including assisting with CTSAC gift reconciliation, donor record management, and donor relations. The ability to multitask and focus on details is critical to this roll.
ESSENTIAL POSITION DUTIES:
The Administrative Coordinator has responsibility for donor relations & communication activities related to the CTSAC campaign.
- Identify and follow up on all lapsed campaign gifts.
- Follows up on payment declines.
- Draft campaign gift thank you letters for appropriate leadership signature.
- Implement process for pledge reminders to CTSAC donors.
- Manage all email and phone calls related to the CTSAC campaign in a friendly, professional, and efficient manner.
- Collaborate with Database Administrator to resolve problematic gifts processing or account management issues.
- Prepare for CTSAC for parishes.
- Coordinate meeting time, and documents for the quarterly board CTSAC meeting. Serves as the recording secretary for the CTSAC board meeting. Post board meetings, coordinate with accounting to produce mail and documents to send to all parishes and Priest and women religious orders receiving funds. Responsible to organize and retains electronic documentation.
ESSENTAIL QUALIFICATIONS:
Primary:
- Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop.
- Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers.
- Active member of a parish/faith community in good standing with the Church.
Education:
- BA degree, highly preferred.
Experience:
- Proficiency in the use of MS Office tools such as Outlook, Word, PowerPoint, Excel and knowledge of fundraising computer software; Raiser's Edge, highly preferred.
- Three years general administrative office experience.
- Knowledge of and familiarity with the Catholic Church in Wester Washington.
Other Elements:
- A working knowledge of parish organizations and structures in the Archdiocese of Seattle.
- Excellent administrative and organizational skills and demonstrated ability to track details and to work effectively under pressure.
- Excellent interpersonal skills including the ability to work with a variety of people.
- Excellent communications skills both verbal and written.
