POSITION SUMMARY
The Accounting Assistant is responsible for a variety of accounting and administrative tasks to help the subdepartments achieve deadlines and ensure accurate data entry. The duties of this position will include bookkeeping, reporting, and providing top-level service to its customers, vendors, and employees. The ideal candidate is detail oriented and a team player who can operate with a high level of communication and knows where he/she is needed. This position is Hybrid and requires at least 2 days / week to be worked at A&R Solar's Washington location (currently in Seattle).
KEY RESPONSIBILITIES
Accounts Receivable:
- Manage the day-to-day Accounts Receivable (AR) functions
- Customer account creation and invoicing per contract terms
- Receive payments (online and in office) and making bank deposits (in office)
- Review of new residential contracts for accuracy and commercial contracts for billing requirements
- Work closely with the Sales and Project Teams and Salesforce to ensure data entry accuracy
- Manage customers’ sales tax profile by collecting Reseller Permits or Sales Tax Exemption Forms
- Respond quickly and professionally to customer questions and requests
- Monthly Aging reports for timely collections and retainage management
- Project stage tracking for timely invoicing
- Coordinating with financing institutions as necessary
- Process Customer Referral Checks
- Desire and ability to become A&R Solar’s Accounts Receivable expert to assist other departments with relevant AR questions (example, but not limited to local and city sales tax laws)
- Keep internal procedures up-to-date
- Assist controller with adjustments between the Income Statement and the Balance Sheet, closely following all methods of Revenue Recognition
Corporate Credit Card Management:
- Receipt collection and review
- Map expenses, classes, vendors, etc to improve automation
- Download credit card transactions and transfer to Quickbooks on a bi-weekly basis
- Manage credit card platform (RAMP & Cap One) including (but not limited to):
- Ordering new / replacement cards
- Managing credit limits for all card users
- Update and Maintain purchase approval levels (Chart of Approvals)
- Ensure automations and approvals are operating as intended
- Follow up on missing receipts and required information
- Removal/ Destruction of cards
- Continuously improve Credit Card platform (RAMP) automation and user accessibility
- Keep internal procedures up-to-date
Tax & Licensing:
- Accurately review, complete and remit Monthly WA State Excise & Sales Tax Liability
- Complete and Remit Quarterly & Annual Municipality B&O Tax
- File and maintain A&R Solar Business & Contractor Licenses
Cross-Training:
Opportunities to expand education and experience more facets of the A&R Solar finance and contract duties. Help provide coverage while team members are out (experience not needed, but is beneficial):
- Accounts Payable (AP)
- Enter Vendor Bills & Reimbursements ensuring proper Job-Costing
- Timely Payment of Vendors (Online and In-Office by check)
- Initiate W-9 Requests and set up new vendors
- Archival of bills into cloud-based storage program for future reference
- Commercial Contract Review & Compliance Support
- Review of Commercial Contracts to reduce financial and operational risk
- Subcontractor Flow Down/ Flow Up compliance
- Other:
- Participate in monthly, quarterly, and annual closing process
- Participate in team meetings
- Special projects as assigned
REQUIREMENTS
- High School Diploma or equivalent
- 2 Years’ experience working in an accounting / bookkeeping role, including Intuit QuickBooks
- Highly proficient computer skills including Google Suite (Gmail) and MS Excel
- Salesforce CRM experience preferred
- Self-motivated, organized, and accountable
- Focused with a high attention to detail
- Ability to prioritize and handle multiple tasks
- High-level of problem solving and critical thinking skills
- Must have a positive attitude and a dedicated work ethic
