AdvanceCare Health Services is seeking an Administrative Assistant to provide essential support to the Executive, Administrative and other departments team in a dynamic and fast-paced environment. The ideal candidate will be a quick learner, have very good computer skills, highly organized, detail-oriented, able to handle interruptions while multitasking, and comfortable being held accountable. This position helps ensure the smooth operation of our organization. This position is full-time, 40 hours per week, Monday through Friday, days. This will be a work-from-home position, only coming into the Hermitage, TN office on an occasional, as needed basis. You need to live less than an hour from our Hermitage, TN Office. You must have high-speed internet.

Responsibilities:

  • Manage supervisors calendar and schedule appointment
  • Coordinate meetings, conferences, and trainings
  • Prepare and organize documents, reports, and presentations
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting and discussions.
  • Conduct presentations and meetings
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications.- Prepares reports by collecting and analyzing information.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Provide exceptional customer service to internal and external stakeholders
  • Conserves Supervisor's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Utilize computer literacy skills to navigate various software programs including Google Suite

Qualifications:

  • Experienced in an Administrative Support Role
  • Very Tech-Savvy - Proficient in Microsoft Office, Google Suite, and learning new programs quickly.
  • Must be Outgoing, Reliable, Punctual, Dependable in both work produced and attendance
  • Communication Skills - Able to communicate efficiently and effectively with persons at all levels of business. Includes good written and verbal communication skills with the ability to read, understand instructions, and maintain written reports/records.
  • Have the ability to adapt readily and quickly to changing assignments as daily demands change.
  • Able to work independently and within a team environment.
  • Strong organizational skills and self-discipline.
  • Ability to handle frequent interruptions while multitasking.
  • Ability to establish priorities effectively.
  • Able to analyze information, problem-solve, break a problem down into the elements necessary to solve it and make decisions.
  • Information Technology experience is a plus, but not necessary, will train.
  • Marketing experience is a plus but not necessary, will train.
  • Must be able to clear a CRIMINAL Background Check (7-10 years).
  • A self-starter that doesn't let things wait gets them done correctly.

You must be Flexible and willing to work and learn on the fly! You should be comfortable with software and technology and be an overall organized person.
