Summary
AME, Inc. is seeking a detail-oriented Administrative Assistant to support our financial and operational activities for our Garage division. This position focuses on managing Accounts Payable (AP), Accounts Receivable (AR), Billing, and Invoicing under the direction of the Controller, while also providing key administrative support to the Equipment Service Manager within our Garage Division. The ideal candidate will have a solid foundation in accounting principles and strong organizational skills.
Responsibilities
- Oversee general accounting functions including accurate data entry for AR and AP
- Audit accounts to ensure correct billing and invoicing procedures are followed
- Assist the Equipment Service Manager with administrative tasks such as scheduling, reporting, data entry, and sales analysis
- Serve as a first point of contact by answering, screening, and routing incoming calls professionally
- Respond to incoming sales inquiries and ensure proper handoff to appropriate quoting personnel
- Organize and maintain records for work requests, customer communications, completed and revised work orders, expenses, and inventory tracking
Skills and Specifications
- Proficiency with MS Office Suite, including Outlook, Word, Excel, and Teams
- Solid understanding of GAAP and general accounting procedures
- Strong organizational and time management abilities to prioritize daily responsibilities
- Clear and professional communication skills via phone, email, and in-person
- Ability to navigate and apply knowledge of AME’s industry tools and equipment for administrative support
- Demonstrated commitment to providing exceptional customer service
Education and Qualifications
- High school diploma or equivalent required
- 2-3 years experience managing accounting functions
