What are the responsibilities and job description for the Purchasing & Receiving Coordinator position at ANDREWS INSTITUTE ASC LLC?
We are looking for someone who can multi task and is organized to fill our Purchasing & Receiving Coordinator position at Andrews Institute Ambulatory Surgery Center. This position is responsible for ordering, monitoring and receiving supplies and equipment for the facility in our Materials Management/Supply Chain Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Demonstrates knowledge of vendors to obtain appropriate supplies.
- Maintains current files, records, and catalogs for supplies and implants.
- Maintains Inventory Management System database for pricing, product / item numbers and PAR levels. Works with GPO to ensure most current tier and price.
- Researches vendors to locate specialized supplies as requested by the medical staff and approved by the Administrator and Director of Business Operations
- Is responsible for maintaining proper levels of inventory and timely distribution.
- Places orders in a timely manner when requisitioned by various areas of the facility
- Ensures all purchasing areas meet regulation and items are stored safely and securely.
- Demonstrates appropriate response to changes in schedule to avoid delay in providing supplies and implants as well as overstock of inventories
- Reviews schedule well in advance to anticipate any unusual high or low demand for supplies
- Validates packing slips against items received and receives purchase orders in Inventory Management System.
- Demonstrates knowledge of appropriate systems for the collection and maintenance of records and documentation pertinent to supplies, implants and systems
- Helps maintain supplies and records for biohazard waste management
- Distribute received supplies to appropriate stocking areas and departments
- Facilitates returns and credit for inaccurate deliveries, missing and damaged items
- Reconciles implant log with bill only write ups, consignments and stocked implants; and facilitates corrections with the OR and vendor. Utilizes implant tracker daily.
- Receives broken instrument forms and facilitates repairs, replacements and service. Tracks all repairs within Inventory Management System and Broken Instrument spreadsheet
- Check and respond to emails in a timely and efficient manner
QUALIFICATIONS:
- Cooperative work attitude toward co-employees, management, patients, visitors, and physicians
- Ability to promote favorable facility image with physicians, patients, insurance companies, and general public
- Ability to make decisions and solve problems
EDUCATION and/or EXPERIENCE:
Required
- High school diploma or GED certificate
- BCLS certification within 3 months of hire
- Previous experience and/or Training or courses in supply chain management
- Strong ethical and moral character references
Preferred
- ASC experience
- 2-3 years as an active surgical teach in the scrub role
