POSITION: Referral Coordinator
RESPONSIBLE TO: Practice Manager of designated clinic
JOB SUMMARY: The Referral Coordinator ensures the effective management of all incoming specialist referrals and maintains accurate and timely records in the electronic medical records (EMR) system. Assists with coverage of front desk reception area, coverage of lobby information desk, and medical records department as needed.
EDUCATIONAL REQUIREMENTS:
- High School Diploma/GED or equivalent experience
QUALIFICATIONS AND EXPERIENCE:
- 1 years of Health Care related experience
- Knowledge of medical terminology
- Efficient proficiency in Microsoft Office applications including, Word, Excel, and Outlook
- Effective verbal and written communication skills
- Strong customer service skills
- Detailed oriented with organizational and time management skills
- Ability to perform in a highly stressful situation
- Ability to multitask
- Ability to establish effective working relationships with patients, physicians, and other medical support staff
- Ability to navigate through multiple software applications
PREFERRED QUALIFICATIONS:
- 1 years of referral management experience
- 1 years of medical insurance experience
- 1 years of customer service experience
- Bilingual preferred, but not required
RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING:
- Manage external referral process and daily referral reconciliation gathering required information and documents needed, working them accordingly in compliance with established timelines.
- Answers telephone calls and assist with scheduling and other needs based on the call type.
- Participates in clinic and market education, training, and meetings as need and/or required.
- Communicate with outside physician offices when needed to clarify referral issues.
- Communicate with clinical staff promote team awareness.
- Maintains knowledge and ensures procedures are followed including referral guidelines, and policies, privacy, and confidentiality.
- Deliver quality customer service, managing the referral process professionally and in a timely manner maintaining professionalism and positive attitude with all internal and external customers/peers.
- Works independently.
- Ensure accuracy of electronic patient records; including registration information, demographics, current insurance information, specialist consults, hospitalization, ER visits, and community organizations related to their health.
- Scan MRI’s, surgery photos, outside medical records, and additional documentation into EMR system to support the patient referral.
- Retain and utilize knowledge of insurance policies and procedures.
- Performs other related duties as assigned.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to sit. The employee is occasionally required to stand, walk, reach with hands and arms, stoop, and bend; and may require lifting of paper weighing up to 20 pounds. Occasional ladder climbing may be required when working at off-site storage facility. The position requires manual dexterity to operate computer keyboard, calculator, telephone, and other office equipment as necessary. Position requires continuous viewing and typing on computers and use of the telephone. Vision and hearing must be within normal range.
MENTAL / EMOTIONAL DEMANDS:
Mental activities necessary for this position include concentration, organization, multi-tasking, problem solving, stress control, dependability, and both verbal and written communication skills. This position involves frequent contact with staff and patients. Work may be stressful and busy at times. Contact may involve dealing with angry or upset people. Interaction with others is constant and interruptive. Position requires maintaining a high degree of confidentiality.
WORK ENVIRONMENT:
Work is performed in an office setting, well-lighted and ventilated, with adequate space. May intermittently require working at off-site storage facility, which is also well-lighted and ventilated, with adequate space. Limited travel to other locations may be required.
