SECRETARY/RECEPTIONIST – INFANT TODDLER SERVICES

REPORTS TO: Infant Toddler Services Manager

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Ensures that receptionist and secretarial functions are performed in accordance with Arrowhead West, Inc.’s corporate policies and procedures, licensing standards, and other applicable requirements.

Responsible for the receptionist functions for Infant Toddler Services to include screening calls, taking messages, and greeting visitors.

Responsible for performance of secretarial functions for Infant Toddler Services staff. These include maintenance of files (electronic and paper), copying, typing reports, maintaining client and program statistical reports, and performing miscellaneous duties as assigned.

Responsible for maintaining appearance of reception area.

Maintains the following: office supply inventory, equipment/library book checkout, and building key inventory/checkout logs.

Organizes and maintains files in an orderly and secure fashion, to include administering check-out system for those files under the control of this position.

Records and/or types minutes of meetings as requested.

Maintains copy of agency forms that pertain to Infant Toddler Services.

Maintains copy of agency policy and procedures manual.

Tracks all leave requests for Special Education Cooperative (COOP) staff and sends monthly report to the Coop’s payroll department.

Logs and files maintenance and incentive requests for Infant Toddler Services and processes reports as needed.

Distributes mail daily; prepares and mails outgoing mail.

Responsible for destruction of outdated records at Infant Toddler Services.

Assists with agency and state reports by maintaining current client data in computer.

Assists in tracking data for annual outcome measurement reports for Infant Toddler Services.

Performs other functions assigned by supervisor.

Individual must be able to effectively communicate in English, including the ability to read and write in English.

Education and Training: High school diploma or general education degree (GED); one year of secretarial experience preferred. Should be capable of typing 60 words per minute with emphasis on accuracy. Must have experience with Microsoft Office software. Must be able to work well with other people and especially have the ability to work with numerous interruptions. Person should have good public relation skills to work effectively with people on the phone and in person. Ability to read and comprehend instructions, short correspondence, and memos. Ability to write correspondence. Ability to apply common-sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to prioritize assigned tasks. Bilingual (Spanish) is preferred.

Certificates, Licenses, Registration: Valid driver’s license (safe driving record, Department of Motor Vehicles check).

Physical Demands: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls to manipulate the computer keyboard, calculator or telephone; and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms; and stoop, kneel, crouch, or crawl. May need to climb up/down stairs. The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include the ability to view a monochrome or color monitor, peripheral vision, depth perception, and the ability to adjust focus. Ability to drive car.

Work Environment: While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to risk of radiation. The noise level in the work environment is usually moderate.

Salary Range: $35,360 – 47,840 ($17.00 – 23.00/hr.) effective 7/4/23
