This Conference Coordinator position is a blend of all aspects of conference planning at Big Sky Resort. This position will manage all department communications for the resort, in-house conference needs, ski club events, as well as offer both event and wedding support when necessary. In general, this position assists the Conference Services (CS) department including Conference Managers, Department Heads, and Conference Services Banquet Staff.

This Conference Coordinator position is a blend of all aspects of conference planning at Big Sky Resort. This position will manage all department communications for the resort, in-house conference needs, ski club events, as well as offer both event and wedding support when necessary. In general, this position assists the Conference Services (CS) department including Conference Managers, Department Heads, and Conference Services Banquet Staff.
Responsibilities
- Schedule all in house meetings (including HOAs, weekly resort department meetings, off season meetings, etc.)
- Manage all gift basket orders.
- Print and distribute event sheets and planning sheets for all conference services operations.
- Generate event summary lists and group resumes for weekly distribution to the resort.
- Support a cohesive food and beverage team with great internal communication, problem solving and patience.
- Enter conference data into Delphi.
- Support a constant improvement of overall conference services and conference coordinating process.
- Organize, plan and be on-site for all ski club events throughout the winter season.
- Manage overall front office duties, including but not limited to printer maintenance and restocking, general cleanliness, office supply ordering, and overall organization of items.
- As requested, complete conference accounting and generate accurate final invoices upon completion of conferences.
- Clock in as a Banquet Server when applicable with the option to be in the tip pool.
- 2 or 4 year College degree is preferred.
- Professional and courteous communication skills via phone and email.
- Proficient in Microsoft Office Suite: Outlook, Excel, Power Point, Publisher and Word.
- Dependable, organized, quick learner, detail oriented, positive attitude.
- General knowledge of Big Sky Resort operations.
- Experience working with Amadeus is a plus.
