QUALIFICATIONS
High school diploma. Secretarial training a plus.
Five (5) years office experience.
Capacity to act independently with regard to continuing answering the phones, monitoring doors, corresponding with community agencies (doctor offices, childcares, etc.), organziging information and materials, handling of routine administrative details, preparation of reports, and sound decision-making.
Ability to maintain a high level of confidentiality.
Ability to use advanced features of Microsoft Word (i.e. merges, tables, sorting, labels, etc.) Publisher, Excel, One Note, PowerPoint, Outlook and to learn new software applications related to the position.
Thorough knowledge of English, spelling, and punctuation.
Ability to interact in a positive manner with staff, educators, and the general public, and communicate effectively both orally and in writing.
Good organizational, multi-tasker and self-starter skills with ability to meet deadlines.
RESPONSIBILITIES
Provide administrative support for both the Coordinator, staff and families of the Infants and Toddlers and Preschool Childfind Programs.
Perform routine tasks not limited to typing, filing, scheduling meetings, recording meeting minutes, and ordering and inventory of materials.
Oversee payroll procedures for the two departments and extension programs.
Prepare and process task codes.
Handle administrative details independently, including screening of telephone calls, composition of letters/memos, etc., and scheduling of appointments.
Maintain office records, files, and reports in an efficient manner.
Perform other job-related duties as assigned.
