What are the responsibilities and job description for the Adminstrative Assistant/Receptionist position at Biscayne Construction?
Duties:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers
- Maintain a clean and organized area
- Manage incoming and outgoing mail, packages, and deliveries
- Assist with administrative tasks such as filing, data entry, and document preparation
- Perform general office duties such as photocopying, scanning, and faxing documents
- Provide support to other departments as needed
Qualifications:
- High school diploma or equivalent required
- Proven experience as a receptionist or in a similar role preferred
- Excellent communication skills, both written and verbal
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficient in using office equipment such as printers, copiers, and fax machines
- Knowledge of basic computer applications (MS Office Suite)
- Attention to detail and accuracy in handling information
- Ability to maintain confidentiality of sensitive information
Skills:
- Phone etiquette: Ability to handle phone calls professionally, with clear communication and proper phone etiquette.
- Administrative: Proficient in performing administrative tasks such as filing, data entry, and document preparation.
- File management: Ability to organize and maintain physical and digital files.
- Office management: Knowledge of office procedures and ability to manage office supplies, equipment, and maintenance.
- Personal assistant: Willingness to provide support to staff members by assisting with various tasks.
