Two confidential high-profile individuals based in Boston, with growing business, philanthropic, and personal initiatives are seeking a forward thinking Executive / Personal Assistant. The ideal candidate will have 5-10 years of relevant experience. We are looking for an executive assistant who possesses a keen understanding of high-net-worth lifestyles, travel planning, and who can perform any task big or small. The role demands exceptional organizational skills, a diligent mindset, and the ability to maintain professionalism and discretion at all times. The Personal / Executive Assistant will also have to do some light traveling.
Candidates must live in Boston but may work from home as needed. This is a role that require international travel.
Responsibilities:
- Plan and book all private travel arrangements and logistics.
- Manage itineraries for domestic and international travel.
- Develop and implement efficient household systems.
- Create and maintain comprehensive manuals for household operations.
- Oversee daily schedules and manage personal and household appointments.
- Assist with errands (pick up and returns of clothing, pick up dry-cleaning, pick-up prescriptions, drop off and pick up car for service.
- Coordinate and plan events, both large and small, ensuring seamless execution.
- Ensure cohesive and effective communication among all household staff. PA will function separately but at times need to partner with other household staff on integral tasks.
- Anticipate the principals' needs and offer proactive suggestions when applicable.
- Assist with packing and unpacking suitcases and organizing travel necessities.
- Household recordkeeping and inventory management.
- Will require occasional travel to other residences in The Hamptons and Miami
- Utilize an eye for design to maintain the aesthetic integrity of all residences.
Qualifications:
- 5-8 years of experience as a Personal Assistant or in a similar role within a high-net-worth environment.
- Proven experience in managing complex travel arrangements.
- Strong event planning skills and experience.
- Exceptional organizational and multitasking abilities.
- Hyper-vigilant and trustworthy with the ability to handle confidential information discreetly.
- Professional demeanor with strong boundaries and the ability to maintain a high level of professionalism at all times.
- Be available for travel.
- Positive attitude, eagerness to learn, and ability to conduct thorough research.
- Comfortable working in a home environment with dogs as well as in an office setting
- An eye for design and experience in maintaining aesthetic standards.
- Valid driver’s license and car
- Must live within 20 miles of Boston
Salary : $120,000 - $175,000
