Job Summary
The Executive Assistant provides high-level administrative support to the President of the College and works closely with the Senior Vice President/Secretary of the College in a fast-paced environment.
The Executive Assistant balances multiple priorities with minimal supervision and is responsible for scheduling and calendar management for the President, including gathering documents and attending to logistics of meetings; making travel arrangements, including creating itineraries and processing expense reports; assisting with budget planning/management ; maintaining paper and electronic records for the Office; managing and assisting with administrative projects; screening and prioritizing incoming information; and routinely performing a wide variety of executive support duties. The Executive Assistant will also serve as a backup to the other Executive Assistant in the Office supporting the Senior Vice President/Secretary of the College.
The Executive Assistant is a member of the President’s Office team and interacts with all members of the Bowdoin College community (staff, faculty, students, trustees, alumni, and parents) as well as members of the public. In all interactions, the Executive Assistant acts with the highest level of professionalism, integrity, and composure, while understanding and maintaining confidentiality at all times.
Salary Range for this position is expected to be: Minimum $85,000-Maximum $95,000

Education/Skills Requirements
Required:
- A high school diploma or GED equivalent
- Excellent time management skills, and proven ability to meet deadlines
- Exceptional interpersonal, oral, and written communication skills
- Excellent administrative and organizational skills with strong attention to detail, accuracy, and precision
- Ability to be responsive to shifting priorities
- Ability to use good judgment to make effective decisions
- Ability to manage sensitive matters with the highest level of confidentiality and discretion
- Ability to represent the College with the highest level of professionalism
- Ability to work collaboratively as a member of a team Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
Preferred:
- Bachelor’s degree
Experience Requirements and/or Equivalents
Required:
- A minimum of seven (7) years of experience, including experience providing administrative support to a senior executive at a comparable organization
- Experience in calendar management: prioritizing, organizing, scheduling/resolving scheduling issues, and maintaining a calendar for an executive or group
- Experience making travel arrangements (flights, hotels, ground transportation, meals, and offsite meetings) for executives including preparing itineraries and expense reports
- Experience preparing and managing office budgets
- High level of demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive, Teams) and other virtual meeting platforms
- Understanding of and experience with business protocols
Preferred:
- Professional experience in higher education
Standard Work Days and Hours
- This is an exempt position requiring the time commitment necessary to satisfactorily complete job requirements
- Hours are generally Monday through Friday, 8:30 am to 5:00 pm, 40 hours/week, year-round (1.00 FTE)
- Additional hours, including evenings and weekends, are required
