Proposal Specialist

The Position

Seeking a detail-oriented, high-output specialist who thrives on delivering top-quality proposals, creative elements, and event-focused solutions. This role is the execution lead for proposal production, turning creative concepts into polished, on-brand deliverables.

Main Responsibilities

• Produce a high volume of sales deliverables, oftentimes requiring time-sensitive deadlines, with a focus on event solutions and creativity
• Collaborate with Sales Account Executives and Sourcing team members to collect necessary program details and work cohesively to create destination scans and develop detailed travel proposals to paint the visual journey of our events and services
• Contribute to creative ideation, including program theming, promotional items, gifting, proposed destinations, and engagement program elements
• Assist in proposal production for non-travel incentive programs as needed
• Support creative material development (graphics, layouts, and copy) for proposals and sales presentations
• Maintain quality control of all deliverables for accuracy, branding, and alignment with client expectations
• Gain knowledge of Brightspot’s internal technology tools (Ignite, Unite, mobile apps) to support proposal accuracy and sales enablement
• Maintain meeting materials and scheduling for our 11:11 Meetings – our monthly all-staff meeting that shares industry trends, company updates, and celebrates employee recognition

Minimum Qualifications

• Bachelor’s degree in marketing, hospitality, business or related field
• 1-2 years of relevant experience
• Strong PowerPoint skills
• Strong work ethic and demonstrated ability in managing multiple/competing priorities
• Creativity in document layout, visual graphics, and copywriting
• Ability to multi-task while maintaining a quality consciousness and sharp eye for detail
• Responsiveness to frequent short deadlines and changes in schedule
• Ability to work independently as a direct contributor

Technical Requirements

• Professional expertise with Microsoft Excel, Word, and PowerPoint
• Knowledge of Adobe Creative Suite, Asana, and AI tools preferred
