Description

SUMMARY

 

Provide administrative support to the Organization and its various departments by performing a variety of clerical, administrative and skilled tasks including preparing reports, conducting research and collecting data.

EDUCATION and/or EXPERIENCE

High School Diploma or GED, and 1 year’s related experience.

ESSENTIAL FUNCTIONS

 

  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Retrieves information as requested from records, email, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Prepare & maintain new binders, face sheets, general information, consultant letters.
  • Prepare all necessary labels for new admissions.
  • Complete resident ledger with necessary information upon discharge.
  • Assemble and check all contents of resident medical records upon death, discharge or transfer for accuracy.
  • Gathering patients' health information ensuring all release of medical records is documented, identified properly, and prior authorizations are obtained.
  • Work directly with the Nursing Home Administrator, Risk Manager and other Medical Supervisors to assist on providing medical records for Litigation and Court Depositions.
  • Thin current resident medical records according to guidelines.
  • Organize and manage patients' health information data.
  • Performs other general clerical and secretarial duties as requested, which may include recordkeeping, managing petty cash, maintaining office supplies and coordinating equipment maintenance, and handling packages and correspondence.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently.
  • Detail-oriented and professional.
  • Knowledge of medical terminology.
  • Flexible and adaptable in various situations and when interacting with many different personalities.
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and compliance with federal and state regulations with medical records releases and any other applicable laws or guidelines.
  • A Confidentiality Agreement is required and must be signed upon commencement of service.

 

CERTIFICATES, LICENSES, REGISTRATIONS

Valid Florida Driver's License

 

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

May have extended periods of sitting in same position working at computer screen. May have periods of physically active work.
