What are the responsibilities and job description for the Undergraduate Admissions Visit and Events Assistant position at California Baptist University?

This position will assist in the planning and implementation of group tours and individual visits of prospective students and parents to the campus. The person will also work closely in the planning and execution of Undergraduate Admissions events. Communication with staff and faculty regarding those visiting our campus will be needed by performing the following duties.
Essential Duties and Responsibilities
Other duties may be assigned.
  • Provide excellent customer service to all campus visitors.
  • Assist in coordination, execution and evaluation of campus preview events.
  • Schedule and coordinates large group visits of high schools and community colleges.
  • Coordinate meeting/conference room and facility reservations for campus visits and events.
  • Schedule appointments, professor meetings, and class visits for campus tour visitors.
  • Assist in various technical support including website, text and email updates
  • Assist in the evaluation and training of tour guides.
  • Receive incoming requests for appointments and campus tours.
  • Communicate regularly with registrants for campus tours and events.
  • Prepare materials for campus visits and events.
  • Assist with check in for campus visits and events.
  • Support the office needs by doing data entry.
  • Schedule individual tours for admissions counselors.
  • Must have a valid California driver’s license.
  • Must have a vehicle that is in sound operating condition.
Supervisory Responsibilities
This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete work assignments.

  • Skill in the use of personal computers and related software applications including but not limited to the Microsoft Office suite and Google Drive equivalents
  • Ability to coordinate and organize meetings and/or special events.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • A thorough knowledge of: Business English and arithmetic; general office methods, procedures and practices.
  • Ability to plan, develop, and coordinate multiple projects.
  • Ability to read and write at a level appropriate to the duties of the position.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Ability to gather data, compile information, and prepare reports.
  • Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff and student body.
  • Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.
  • Strong organizational skills and detailed oriented.
  • Ability to maintain confidentiality.
  • Excellent telephone courtesy knowledge and experience.
  • Ability to interpret, adapt, and apply guidelines and procedures.
  • Ability to create, compose, and edit written materials.
  • Ability to develop and maintain recordkeeping systems and procedures.
  • Ability to resolve customer complaints and concerns.
  • Ability to investigate and analyze information and to draw conclusions.
Education and/or Experience
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
