Requirements
- Update Event Reports on a monthly/weekly/daily basis, as progress and commitments are made.
- Manage event customer service – answering Zendesk email questions from internal and external persons regarding their tickets and registration to upcoming events.
- Determine weekly meeting schedule and meeting recaps
- Communicate with clients and partners in a professional manner and take detailed minutes during event meetings (in person and/or via conference call)
- Perform event registration maintenance including responding to attendee’s questions, making registration changes, updating upgrade pricing, and providing updates to team members and clients
- Ordering and gathering all event supplies
- Set registration rules/parameters (early bird rates and dates, etc.) based on experience and past year’s registration data analysis
- Proper bookkeeping for all events
- Provide post event debrief to Executives
- Actively use company systems to manage projects, i.e. Google Docs, Excel, Shopify, Chargify, Thinkific, Clickfunnels
- Participate in creative for all events (emails, social posts, videos, production, etc)
- Ensure event websites are up-to-date and have correct information (dates, pricing, etc)
- Conduct market research, gather information and negotiate contracts prior to closing any deals
- Execute menu selection and guarantees/estimates
- Coordinate outside vendors (i.e. AV or Production companies)
- Design emergency contingency plans and contact sheet
- Ensure compliance with insurance, legal, health and safety obligations
- Connect with potential partners to expand market reach
- Travel up to 10 percent
- Capable of working well with internal and external teams/partners
- Ability to work under pressure with strict deadlines in a fast-paced, changing environment while maintaining a professional and positive attitude
- Ability to effectively solve problems, think creatively, make decisions, and take action, exercising independent judgment
- Strong project management, customer service and relationship building skills
- Strong written and verbal communication, able to deliver clear, concise information tailored to specific and varied audiences
