ADVOCATE COORDINATOR (Part-Time | Volunteer Case Manager)
CASA of the Heartland exists to advocate for child abuse and neglect victims by providing them with a trained volunteer who will speak on their behalf in court. Our mission is to give these vulnerable children a voice and help them find a safe, permanent, and loving home. We serve children across multiple counties, including Hardin, LaRue, Meade, Breckinridge, and Grayson. The Advocate Coordinator must be flexible and willing to support volunteers in any of these counties as needed. While the initial caseload for this position will primarily involve serving Meade County volunteers and cases, travel within the region may be required depending on the applicant’s residency. Caseload, service area, and hours may expand due to evolving program needs.
Statement of Purpose: The Part-Time Advocate Coordinator is a vital member of the CASA of the Heartland team whose responsibilities include recruiting, supervising, and supporting volunteer advocates and coordinating cases. This position is currently part-time with the potential to transition to full-time as caseloads increase. The Advocate Coordinator reports directly to the Director of Advocacy, while the overall program is under the leadership of the Executive Director. This position is 100% Advocate Coordinator, but mission needs may shift duties if required.
Advocate Coordinator Duties:
- Assist the Director of Advocacy in recruiting, screening, interviewing, and selecting new CASA advocate volunteers as needed.
- Review and monitor wait-listed and newly assigned Family Court cases, prioritizing older cases when assigning to advocate volunteers.
- Process, enter, and manage assigned cases in the database system and generate required reports.
- Ensure case files and volunteer management practices comply with CASA of the Heartland, Kentucky CASA Network, and National CASA standards.
- Maintain regular contact (at least monthly) with assigned volunteers, offering additional support based on volunteer, case, or staff needs.
- Ensure closure forms and all case documentation are completed and filed accurately at case closure.
- Maintain a confidential case filing system (digital and/or physical) following established protocols.
- Prepare case-related reports and documentation as required.
- Attend court hearings and maintain up-to-date knowledge of court dates and legal requirements.
- Provide consistent guidance and support to CASA advocates.
- Ensure advocates are meeting required CEU (Continuing Education Unit) standards.
- Complete all required staff CEUs
- Prepare and distribute documentation related to volunteer case assignments.
- Distribute CASA policies to volunteers and ensure adherence.
- Ensure accurate and timely data input across CASA’s databases and reporting tools.
- Perform other duties as assigned by the Director of Advocacy or Executive Director.
Qualifications:
- Associate’s degree or higher in Business, Public Administration, Communications, Marketing, Information Technology, Social Work, Education, or a related field, or equivalent relevant experience.
- Prior experience with volunteer management, nonprofit administration, or public agency coordination preferred.
- Familiarity with database systems is preferred.
- Strong oral and written communication skills.
- Highly organized with strong recordkeeping abilities.
- Ability to engage and work respectfully with individuals from diverse cultural, socioeconomic, and educational backgrounds.
- Professionalism and composure in emotionally charged or challenging situations.
- Ability to manage and support multiple volunteers, ensuring high standards in performance and accountability.
- Public speaking and community engagement skills are a plus.
- Previous supervisory, management, or leadership experience preferred.

- Must have reliable transportation, have a valid driver’s license, and maintain valid state-required insurance coverage.
