The Central Falls School District welcomes applications for the position of Payroll and Accounts Receivable Specialist. In this position, the Specialist is responsible for providing high-quality customer service, which involves paying employees, tracking hours worked, and calculating employees' pay. The candidate will also have a strong grasp of the interrelations between finance and human resources, coupled with good problem-solving skills in order to detect errors that may develop with technology, or human errors from employees and managers. Payroll and Accounts Receivable Specialist Details Purpose: The Payroll & Accounts Receivable Specialist plays a critical role in ensuring timely and accurate payroll processing for all school district employees, as well as managing all accounts receivable functions. This includes processing invoices, collecting payments, and following up on overdue accounts. The role supports the financial stability of the district’s programs and services by handling revenue streams and managing financial records that directly impact the services provided to students in the Central Falls School District. As these two functions can be primarily processed on a bi-weekly basis, every other week will be focused on one function, then the other. Payroll Job Duties: Process bi-weekly payroll for all district employees, ensuring accuracy and compliance with applicable contracts and regulations. Maintain and update employee pay portal, streamlining payroll processes for efficiency. Manage electronic timesheet systems, ensuring accuracy and proper submission from staff and supervisors. Serve as primary contact for payroll-related communication, including handling inquiries from staff, supervisors, and unions. Conduct payroll audits by verifying pay information and generating a comparative analysis report each pay period. Process garnishments, salary adjustments, and leave-related changes. Collaborate with HR to address payroll discrepancies and process necessary adjustments. Reconcile Teacher and Non-Teacher Retirement contributions, ensuring compliance with applicable regulations. Assist in preparing payroll reports required by local, state, and federal agencies (e.g., ACA, CES). Ensure compliance with IRS, state, and federal laws regarding payroll and assist auditors with payroll-related documentation. Submit necessary retirement forms to Municipal Employment Retirement System (MERS) and Employment Retirement System of Rhode Island (ERSRI). Stay informed about union and non-union contract provisions to ensure accurate payroll processing. Perform other duties as assigned by the Chief Financial Officer or Superintendent. Accounts Receivable Duties: Process incoming payments in accordance with district financial policies for various funds (General Fund, Federal Grants, State Grants, Foundations, Student Activity Funds). Manage day-to-day financial transactions, including verifying, classifying, computing, and recording accounts receivable data in the ERP system. Generate invoices for services rendered and ensure proper billing in line with payment terms. Perform bi-weekly deposit processing and ensure the accuracy and authenticity of deposit documentation. Reconcile payments to the correct accounts and maintain accurate records in the financial system. Prepare the Medicaid Quality Report as required. Oversee invoicing for life insurance and medical billing, ensuring accuracy and timely follow-up on outstanding payments. Add new customers to the financial system as needed and maintain accurate customer records. Assist with other accounts receivable duties as assigned by the Chief Financial Officer or Superintendent
