Job Summary
The Administrative Assistant provides professional reception functions that support quality clinical services, efficient business practices and engaged client service.
General Duties and Responsibilities for Outpatient Administrative Assistant:
- Ensures that all clients, visitors, and other staff sign in.
- Supervises and maintains the waiting room, ensuring it is safe, clean, and organized.
- Develops and maintains the weekly appointment schedule, based on input from the Therapists. Collects co-pays at time of service. Gives receipts to the consumer. Ensures that all copays are entered into the EHR, and batches out the credit card machine at the end of the day.
Requirements
Education and Experience Requirements for Outpatient Administrative Assistant:
- A high school diploma and at least one year of office experience providing customer service and clerical support.
- Intermediate computer skills, inputting at least 45 correct words per minute using Microsoft Office Suite and an electronic health record.
Preferred Education and Experience for Outpatient Administrative Assistant:
- Previous work in a medical setting
- Paid experience working with children and their families.
- Adult and Pediatric CPR/AED and First Aid
- Bilingual (Spanish) is preferred

- Demonstrating good written, oral, and listening skills.
- Organizing work, setting priorities, and sequencing activities to achieve team goals.
- Implementing sound administrative/clerical procedures and systems
- Adapting to changes in assignments, priorities, and new job information.
- Understanding the outpatient program and modalities used in treatment.
- High quality customer service skills
- Monitoring and controlling resources, such as office supplies and petty cash.
- Multi-tasking front and back office activities, demonstrating priority flexibility.
- Observing, analyzing, and monitoring situations to ensure client safety and to make sound decisions.
- Comparing and analyzing information for reports and to solve problems.
- Learning and adapting to new software and computer systems.
- Excellent written and verbal skills
