Fine Arts Administrative Assistant
Part-Time, Hourly, Non-Exempt, 21 Hours per Week, 11 Months
Reports to the Director of Fine Arts
Schedule: Tuesday, Thursday, and Friday, 9:30 a.m.-4:30 p.m. with occasional nights and weekends as required
Description:
This eleven-month, part-time position reports to the Director of Fine Arts and supports the PK-12 Fine Arts Program.
Duties and Responsibilities:
Support all administrative functions of the Fine Arts Program including but not limited to photo archives, set-up and maintenance requests, event ticketing and box office, order placement and tracking, simple video editing for website and social media use, survey creation and tracking, Signup Genius creation and maintenance, Social Media account back-up, etc.
Occasional nights and weekends are required to support Fine Arts events. An advance calendar of events will be provided.
Required Skills:
Information Systems Proficiency in basic computer applications such as Microsoft Office (PowerPoint, Word, Excel).
Design Software Experience using Photoshop, Illustrator, Canva, and video editing software.
Communication Advanced excellent verbal, written and interpersonal communication skills.
Develops and maintains efficient internal communication processes to support the activities of the department/program. Represents the department/program in a professional manner, relays relevant information, and provides necessary follow up. Takes ownership of issues and concerns communicated to the department/program and provides follow-up to bring issues to conclusion. Perseveres to bring issues to conclusion.
Prioritization Using time efficiently and productively; prioritizing multiple tasks properly to meet deadlines; recognizing time constraints and adjusting work schedule to address them. Establishes and implements reporting systems. Independently identifies resources and practical processes for completing projects.
Problem Solving Ability to independently and collaboratively work through a problem to reach a positive solution.
Strategic Thinking Ability to think strategically to advance department goals.
Conflict Management Successfully identifying, confronting, defusing, and resolving interpersonal conflicts and disagreements in a positive and constructive manner; building consensus among others with very different perspectives.
