The City of Avondale is seeking a detail-oriented Grants Coordinator to lead citywide grant administration, ensure compliance, and support departments in transforming funding opportunities into impactful community projects.
The Grants Coordinator serves as the central point of contact for the City’s grant administration program and works collaboratively with City departments to plan, implement, and manage the City’s grants program. This position supports departments in managing grants in compliance with grant agreements throughout the full grant lifecycle, from pre-award planning through post-award management and closeout. The Grants Coordinator is responsible for ensuring the City’s compliance with federal, state, and local grant requirements, including 2 CFR Part 200 and City grant policies and procedures. Additionally, the position maintains the City’s grants database, coordinates grant-related training to strengthen the City’s grant management capacity and supports departmental audit readiness.
- Conducts research to identify grant opportunities from federal, state, tribal, and private funding sources and communicates opportunities to City departments.
- Ensures compliance with federal registration requirements and serves as the City’s administrator for grant-related systems and portals.
- Coordinates with City departments, City Management, and Finance and Budget in the preparation and submission of grant applications to ensure consistency with the City’s budgetary and strategic objectives.
- Establishes policies and procedures to support compliant grant management in accordance with federal, state, tribal, and private funding requirements.
- Supports City departments in the formal acceptance of grant awards, including required City Council reports and the establishment of financial and reporting accounts.
- Monitors City department grant reporting submission to ensure all required grant reports are prepared and submitted accurately and on time.
- Identifies, develops and, when appropriate, facilitates trainings to enhance staff capacity for compliant grant administration.
- Monitors the grant lifecycle and ensures grants are closed out in accordance with the grant agreement requirements.
- Facilitates and coordinates official communications with federal, state, tribal, and private funding agencies regarding grant compliance, amendments, project challenges, and closeout.
- Supports Accounting in the preparation and audit of the SEFA and ensures appropriate follow-up and compliance related to audit findings.
- Develops and implements administrative controls to ensure compliant acquisition, implementation, and financial oversight of grant funding.
- Maintains current knowledge of best practices in grant application, administration, and compliance.
- Performs additional duties as assigned.
Minimum Qualifications:
Bachelor’s degree in Finance, Accounting, Business Administration, Public Administration, or a closely related field.
An equivalent combination of education and job-related experience may be substituted on a year-for-year basis.
Five (5) years of experience in grant writing, development, administration, project development, or a related field.
Valid Arizona Operator’s Driver’s License.
Preferred Qualifications:
Possession of current Grants Professional Credential from Grant Professional Certification Institute is highly desirable.
