PURPOSE OF POSITION

PURPOSE OF THE POSITION

Provides administrative support and recreation related services involving direct customer service, financial/accounting record keeping, facility rentals, concession operations, boating registration, and other duties in support of Parks and Recreation Department programming and special events. Works under the general supervision of the Parks and Recreation Director or assigned designee. Performance is reviewed for technical accuracy through summary reports, verification of balances, discussions, and direct observations.

This position is considered an emergency/disaster position. During emergency conditions, all City employees are automatically considered emergency service workers. City employees are subject to being called to work in the event of a disaster, such as a hurricane, or other emergency situation, which requires that the employee be ready, willing, and able to report to work during emergencies and/or disasters of any kind, notwithstanding any other commitments the employee may have and be able perform emergency services duties, as assigned.

Essential Job Functions/Other Job Functions

Provides general and specific information/responses, when appropriate, to telephone and in-person inquiries regarding rental and registration processes, department program information, boat passes, miscellaneous payments, etc.

Assist with concession desk coverage needs and utilize reservation system for use of individual and team sports, meeting, picnic, and program facilities. Monitor use of facilities to ensure compliance with governing policies and regulations.

Reviews and processes financial transaction documents. Ensures accuracy, completeness, and compliance with accounting procedures.

Research various manual and computerized records and files to resolve problems involving scheduling conflicts, payment of invoices, collection of fees and billings, reporting of information, and/or preparation of reports; provides information and technical assistance to departments and the public.

Attends concession desk to include providing assistance with ordering supplies, inventory control, record keeping, reporting, and other tasks pertaining to the management of concession operations.

Posts cash receipts and processes refunds and invoices as necessary. Balances the daily cash drawer and receipts and resolves discrepancies if necessary.

Maintain bulletin boards and kiosks and City of Maitland’s Parks and other Park facilities.

Processes membership renewals, new memberships, registrations for all instructional programming, facility rentals, concession sales, boat passes and associated payments.

Provides assistance with special event operations including, but not limited to, set up and break down tables, chairs, and other equipment to accommodate programs and special event needs as necessary.

Locks and unlocks park facilities as required during opening and closing periods, enforcement of park rules, general cleaning duties, and assisting with other event operational duties as required.

Other Functions

Maintains high levels of personal and professional integrity promoting core values, integrity and accountability throughout the organization.

Completes forms, writes reports, answers phones, utilizes city email systems, and delivers messages.

Must possess strong customer services skills and the ability to communicate effectively to clientele.

Assists in special events programming or special projects as required.

Perform all other duties as assigned.

EQUIPMENT USED

Personal computer, software applications, Microsoft Office with emphasis in Excel, Word; credit card machine; Parks & Recreation software systems; telephone; copy machine; scanner; fax machine.

Various light tools and/or cleaning aids; various equipment related to any and all department programming, etc.

While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to walk and/or stand; use hands to operate, finger, handle, or feel objects, tools, or controls; and reach with hands and arms.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK LOCATION AND ENVIRONMENT:

Depending upon the assignment, incumbent normally performs the duties of this job in an office environment at the Maitland Community Park but may be required to work in outside weather conditions. The employee may be exposed to wet and/or humid conditions, toxic or caustic chemicals.

The noise level in the work environment is usually quiet while in the office to moderately loud when in the park or other outside facilities.

Minimum Qualifications/Special Requirements

High School diploma or equivalent and clerical accounting, customer service or a related area; or an equivalent combination of education, training, and experience. Extensive experience in working with the public and must be able to operate a personal computer, experience in data entry.

Must be able to work early mornings, evenings, weekends, holidays (as needed), and “split” shifts.

Possess and maintain a valid Florida driver's license.

Must also possess the National Incident Management System (NIMS) IS-700 within 30 days of employment and the ICS-100 within 90 days of employment. There may be additional NIMS required, which will be scheduled by your supervisor.

Critical Skills/Expertise

Working knowledge of modern office practices, systems and procedures; working knowledge of personal computers and electronic data processing.

Ability to establish and maintain effective working relationships with applicants, employees, City officials, and the general public.

Working knowledge of personal computers and electronic data entry to include the internet, automated spreadsheet software, and word processing applications.

Working knowledge of modern office practices and procedures; utilization of parks and recreation software, working knowledge of governmental accounting principles and practices.

Ability to read, write, and complete necessary reporting regarding departmental activities.

Ability to handle cash transactions effectively and complete data entry regarding such transactions.

Ability to file documents, make copies, and perform general light cleaning of offices, process general correspondence.

Ability to process data with extreme accuracy.

Ability to communicate effectively verbally and in writing.

Ability to work under pressure and with frequent interruptions.
