As the Executive Office Administrator, you’ll play a central role in ensuring the smooth and professional operation of the City Manager’s Office. You’ll be responsible for managing and organizing the calendars of the Assistant City Managers, skillfully balancing priorities and anticipating scheduling conflicts. In addition to overseeing complex scheduling, you’ll coordinate all travel arrangements for the Assistant City Managers—from booking logistics to reconciling travel expenses—ensuring everything is timely, accurate, and aligned with City policy.
Strong organizational skills, with the ability to manage time effectively, coordinate projects, prioritize tasks, and meet deadlines independently; Proficiency in maintaining confidentiality, managing sensitive communications, and operating with sound judgment under pressure; Effective verbal and written communication skills and the ability to maintain professional composure in fast-paced environments.
In this role, you’ll serve as the Benefits Assistant Coordinator for the Executive and Legislative Department and act as the department liaison with Human Resources and, Kronos timekeeping systems. At every turn, your ability to maintain confidentiality, foster positive relationships, and prioritize efficiency will ensure that the City Manager’s Office runs smoothly and continues to serve the residents of Greensboro with excellence.

Minimum Qualifications:
- High School Diploma or GED, and 4 years of progressively responsible administrative support experience.
- OR designation as a Certified Professional Secretary (CPS) by the International Association of Administrative Professionals (IAAP), which may substitute for education and experience requirements.
- Demonstrated experience working with the public, elected officials, and/or senior leadership in a professional setting
- .Experience with executive calendar scheduling, travel coordination, and multi-line phone systems, fax/copier/printer operation
- Intermediate to advanced proficiency in Microsoft Office Suite
- Face-to-face and phone customer service experience in a professional office setting
Preferred Qualifications:
- Associate’s Degree in Business Administration, Public Administration, or related field
- Working knowledge of local government structure, municipal operations, and policies, especially as they relate to the City Manager’s Office and other administrative departments.
- Prior experience supporting high-level government officials or executive leadership level
- Notary Public commission
