We are currently seeking:
An office assistant who will provide secretarial support to assigned departmental personnel; prepare and process various types of documentation; perform data entry; maintain departmental records and files; and perform other related duties as assigned.
Your responsibilities will include:
- Providing information, customer service, and/or referrals to the public.
- Answering, screening, and directing incoming calls; documents and distributes requests for service.
- Greeting and directing visitors to appropriate City departments, personnel or partners.
- Responding to general inquiries regarding departmental operations, policies, programs, and/or services.
- Gathering and compiling data; prepares and/or generates various types of reports.
- Performing data entry; updating and maintaining departmental records, files, and/or databases.
- Providing clerical support and assistance to assigned departmental personnel.
- Updating and maintaining departmental calendars; scheduling/coordinating appointments and meetings.
- Organizing and preparing materials for meetings, speaking engagements, fairs, and/or other functions.
- Preparing, processing, copying, files, and distributing correspondence and other documentation.
- Conducting a variety of routine accounts payable, accounts receivable, and/or payroll tasks.
- Preparing bank deposits; balancing and maintaining petty cash.
- Assisting in ordering departmental supplies and equipment; obtaining vendor quotes/bids as required.
- Collecting, processing, and distributing incoming and outgoing departmental mail.
- Performing other routine or specialized duties relative to area of assignment as required.
- Hours: Monday through Friday, 9:00 am to 6:00 pm.
- Regular and timely attendance is required.

Requirements and Skills:
- Coordinating and performing a variety of general clerical duties.
- Providing secretarial support to assigned departmental personnel.
- Preparing correspondence, reports, and/or other types of documentation.
- Performing accurate data entry and updating/maintaining departmental records and files.
- Establishing and maintaining cooperative working relationships with other staff, City departments, outside agencies, and the general public.
MINIMUM QUALIFICATIONS:
Education and Experience:
High School Diploma or equivalent; and one-year general office experience; or an equivalent combination of education and experience.
Required Licenses or Certifications:
- A Texas Driver License with a good driving record is required.
- Applicants with an out-of-state driver license must provide an original certified driving record from the state of driving licensure.
- A skilled typing test is required (35 wpm with 90% accuracy).
Required Knowledge of:
- General office principles, practices, and equipment.
- Standard computer software applications.
- Records management principles and standards.
- Basic bookkeeping and accounting principles.
- Customer service standards and protocol.
Physical Demands / Work Environment:
- Work is performed in a standard office environment.
- Subject to sitting for extended periods of time, standing, walking, bending, reaching, climbing step ladders, and lifting of objects up to 25 pounds.
- Exposure to potentially irate members of the public is involved.
