Executive Assistant
Our client, an investment management firm, is looking to hire a proactive EA to support two C-Suite executives in their NYC office. In addition to providing administrative support to the key executives, the EA will also serve as the first point of contact for visitors to the New York office, play a central role in office-wide event planning, and contribute to shaping a dynamic and inclusive office culture.
Job Responsibilities:
• Calendar management including complex scheduling across multiple time zones
• Organize and coordinate logistics for internal and external meetings, offsites, and events
• Prepare and submit accurate and timely expense reports
• Plan and book domestic and international travel, including detailed itineraries
• Plan and organize events through cultural celebrations, and social gatherings
• Conduct research and compile reports using internal systems and external sources
• Provide backup support to other Executive Assistants as needed
• Assist in the creation and formatting of PowerPoint presentations
• Assist with the onboarding process for New York Office team members
Qualifications:
• 10 years’ experience within an administrative role supporting senior management
• Experience in the investment management industry
• Prior exposure to global contexts, whether professionally and/or personally
• Advanced proficiency in MS Office with an ability to learn new technology
• Demonstrated strong detail orientation, diligence, and overall high work quality
• Excellent organizational, multi-tasking and prioritization abilities
• Proactive and creative problem-solving skills
• High level of reliability, professionalism, and discretion
• Outstanding interpersonal and communication skills
Salary Range: 120-130 base, plus bonus and profit sharing
Work environment: hybrid, 4 days in office in midtown NYC
