What are the responsibilities and job description for the Transfer Credit Evaluator position at College of Eastern Idaho?
The Transfer Credit Evaluator is a full-time professional staff member responsible for several areas such as transfer credit, student file audits, various student petitions, degree pathways, and reports. The successful candidate will evaluate transfer credit for students while considering degree applicability and equivalent coursework at CEI. The candidate will also be in charge of ensuring accuracy in student accounts as well as facilitating various petitions on behalf of students. Additionally, the candidate will be responsible for working with other colleges and universities regarding the updating and/or creating of new pathways to their institutions.
This position also participates in efforts to help students achieve their educational goals by supporting Advising services with tools and resources that can help track student progress. The Transfer Credit Evaluator works closely with students, faculty, and departments within Student Affairs including, but not limited to: Admissions, Financial Aid, and Student Advisors, along with other programs to ensure high-quality delivery of services. This position is often one of the first points of contact for potential students, and therefore must demonstrate knowledgeability and care for each student's needs.
Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. Â The employee is regularly required to sit and often uses repetitive hand motions.
On-site work is essential and regular predictable attendance is required. Â Employees may be required to work at occasional events and handle tasks outside of regular working hours.
Background Investigations
Employment at College of Eastern Idaho will be contingent upon the successful completion of a criminal background investigation and may require a credit and/or motor vehicle background investigation depending on the position. Please refer to Policy 225: Background Checks.Â

- Reviews official transcripts for transferrable credit/determines equivalent content
- Responsible for student account audits (SOAR Reviews) after a student is fully admitted
- Corresponds with potential/current students regarding transcript reviews
- Creates and maintains transfer equivalencies in the identified system
- Works directly with students who may submit petitions for non-equated coursesÂ
- Responsible for equating student credits in the field of Prior Learning - such as AP tests, CLEP tests, or Joint Service Transcripts
- Oversees the maintenance of the State Transfer Portal, uploading updated documents twice a year
- Responsible for running the Waitlist process before the start each academic term
- Point of contact for other institutions, or faculty and/or staff from other institutions reaching out for transfer informationÂ
- Proficient with the use of software used by CEI such as Recruit, Colleague, Softdocs, and EtrieveÂ
- Works together with the rest of the Registrar's Office in preparation for CEI's commencement ceremony held once a year
- Works within the Registrar's Office to maintain the integrity of student records and to comply with college policies, deadlines, and procedures related to student enrollment
- Works closely with other Student Services and enrollment management staff to deliver a wide range of support and customer service functions to students, faculty, and staff
- Maintains expert-level knowledge of applicable policies, procedures, regulations, rules, statutes, and laws
- Keeps abreast of federal and state regulations and institutional policies to ensure compliance with those requirementsÂ
- Cooperates in the development of efficient, technology-driven processes to ensure that the highest quality data standards are met
- Works with Institutional Research to gather and analyze data for reports and other documents
- Maintains effective working relationships with faculty, staff, and the community to actively support a team approach to accomplish goals
- Participates in some evening and recruitment events
- Performs other job-related duties as assigned
- Bachelor's Degree from a regionally accredited institution or 4 or more years of relevant experience combined with education
- Works well independently and as a team
- Data Entry Experience
- Detail-orientedÂ
- Excellent verbal, written, and interpersonal communication skills, including public speaking and the ability to represent the college in a positive way to diverse populations
- Incumbent must reside in Idaho (Currently CEI doesn't sponsor H-1B Visas)
- Experience with Ellucian/Colleague, Datatel or other post-secondary application software
- Experience working in a Registrar's Office
- Bilingual (Spanish)
