What are the responsibilities and job description for the Payroll Manager position at Colony Hardware Corporation?
Reporting to the Director of Human Resources Operations, the Payroll manager is primarily responsible for ensuring accurate and timely processing and recording of the company’s payroll. The Payroll Manager is also responsible for reinforcing and reviewing government regulations having to do with payroll. Supervises and oversees the work of the Payroll Associate.
- Performs daily payroll operations including all data entry of necessary changes in hours, rates of pay, and employee demographics. Audits the input performed by the payroll associate to ensure accuracy
- Understands all aspects of payroll in regard to payroll laws and regulations and reinforces them throughout the company and stays up to date on new laws and regulations.
- Manages workflow to ensure all payroll transactions are processed accurately and timely.
- Prepares payment of monthly sales commissions, car allowances, etc.
- Processes correct garnishments calculations for compliance with various agencies
- Executes time and attendance processing and interface with payroll vendor
- Oversees the review of employee timecards by the payroll associate for accuracy or issues and collaborates with other branch managers on resolving timecard conflicts.
- Updates ADP with 3rd Party Sick Payments.
- Processes accurate and timely monthly and year-end reporting when necessary
- Answers all inquiries for verification of employment.
- Audits new employees in ADP and adds additional information prior to transmitting.
- Provides excellent customer service to employees in the areas of pay and taxes.
- Audits employee changes and payroll calculations prior to acceptance of file.
- Creates and updates the ADP system with new earnings, deduction,s and calculated codes as needed.
- Works with ADP Compliance to resolve tax issues with requesting tax agencies.
- Tracks and confirms refunds from ADP for direct deposit reversals and stopped payments.
- Assists managers and employees in understanding company policies on paid time off.
- Works with 401k Administrator (Fidelity) to resolve issues with uploads or employee records.
- Provides supervisors with instructions on enhancements within time and attendance system to simplify the process.
- Creates job aids upon request for managers and employees.
- Creates and runs ad-hoc reporting for finance and management upon request.
- Provides finance with per pay period and monthly reports.
- Researches and documents the correct setup of employees in local tax jurisdictions based on lived-in and worked-in locations.
- Registers company for a new state or local jurisdictions as necessary.
- Participates in onboarding acquisitions by managing the import of new associates to ADP. Ensures that garnishments and paid time off are received from the seller in a timely manner
- Participates in weekly ADP calls for new setups, problem resolution, and requests.
- Works with Benefits Administrator to establish payments from the company to employees on leave of absence.
- Supports the payroll associate by providing mentoring and guidance. Provides learning opportunities to enhance the development of the associate.
- Performs other duties as assigned.
Qualifications
- College Degree in Human Resources, Business, Finance, or other related discipline preferred.
- Minimum 5-7 years of processing multi-state company payroll of 500-1,000 employees, or relevant experience in payroll administrative work.
- Experience with ADP Workforce Now ADP Essential Time System
- Must have outstanding customer service skills with the ability to interpret customer needs as well as demonstrate a customer service mindset when dealing with internal and external customers.
- Must have working knowledge of payroll policies and practices following legal processes and government regulations.
- Strong knowledge of multi-state and federal regulations regarding taxes and compensation.
- Ability to handle difficult employee situations regarding taxes and compensation.
- Must be comfortable running reports for multiple departments using ADP and performing calculations when needed.
- Must be able to follow up with employee requests and inquires regarding compensation and taxes in a timely and efficient manner.
