Job Summary

The Bilingual Enrollment Coordinator (EC) is an important, front-facing member of the Community Collaborations team, and is regularly a first point of contact for community members using Community Food Share’s pantry programs. This role is responsible for processing new enrollments and Supplemental Nutrition Assistance Program (SNAP) applications for Community Food Share’s direct distribution programs, including the Feeding Families Onsite Pantry and Mobile Pantries. This position may also support the Blue Spruce Neighbors program as needed. These responsibilities will include weekly data entry in the SIMC (Service Insights on Meal Connect) database for program participants, ensuring both physical and electronic records are accurate. The EC trains and works with volunteers to ensure that basic data entry work is completed in a timely manner. The EC supports programs with annual renewals (updating program participants’ information), enrollment updates, and verifying eligibility documentation — at both on and offsite locations. This position regularly commutes to offsite pantries and community buildings throughout our service area. Mileage reimbursement is available. Typical work schedule is 8:00 AM-4:30 PM, Monday-Friday. One day of the month will require working 10:00 AM-6:30 PM on a Thursday. The work of this position will evolve based on the current needs of programs, and the rest of the organization. 50% time is spent on SNAP work, and 50% time is spent on CFS programs. This position makes resource referrals and conducts community outreach onsite and offsite at various locations. Occasional evening and weekend work will be required. Bilingual in English and Spanish is a requirement.

Community Food Share Programs and Enrollment

· Greets and welcomes new and returning program participants while working alongside Feeding Families check-in volunteers in the Feeding Families pantry lobby. Assists all new shoppers with learning and understanding appointment booking via the WaitWell software.

· Responsible for assisting participants with completing their enrollment forms and verifying form completeness and accuracy.

· Prioritizes creating a warm, welcoming environment, while also adhering to program eligibility requirements.

· Consistently gives top notch customer service to participants, volunteers, and visitors. Utilizes de-escalation and conflict resolution techniques if needed.

· Oversees check-in process in the Feeding Families lobby and assists participants and volunteers as needed with program and enrollment questions. Utilizes WaitWell software to manage appointment bookings and walk-ins.

· Responsible for maintaining a clean and organized lobby and front desk area, ensuring that paperwork and flyers are restocked at the end of each day. Cleaning tasks will include, but are not limited to: mopping, sweeping, disinfecting surfaces, taking out trash, etc.

· Possesses knowledge of the local nonprofit community and is able to speak to Community Food Share’s distribution programs proficiently, in addition to making referrals to other organizations and programs as appropriate.

· Responsible for data entry for both Feeding Families and Mobile Pantry programs on both a daily and weekly basis. Ensures data on enrollment forms is complete and accurate and helps establish training and processes to ensure data integrity.

· Trains volunteers to help with data entry. Oversees and checks volunteers’ work.

· Assists with enrollments, qualification, and check in at Mobile Pantries. Can expect to visit Mobile Pantry locations several times a month.

· Ensures accuracy and data completion for TEFAP (The Emergency Food Assistance Program).

· Assists with flyer creation for programs as needed, including but not limited to annual distribution calendar updates and holiday rescheduling updates. Light translation required for printed materials.

· Supports the Neighbor Engagement Manager, the Director of Community Collaboration, and Collaborations Team as needed.

Supplemental Nutrition Assistance Program (SNAP) Enrollment

· Develops in-depth knowledge of the SNAP program, and screens, counsels, and advises participants on necessary documentation and eligibility requirements for SNAP.

· Ensures that outreach activities are tracked and recorded as needed for program evaluation and reporting to grant funding agencies. Responsible for monthly and quarterly reporting.

· Works with Hunger Free Colorado as appropriate to accomplish program objectives to increase SNAP participation. Actively participates in the SNAP Digital Outreach Peer Learning Engagement group via Feeding America. Utilizes Yammer and other Feeding America tools as appropriate.

· Accepts online GNSAP referrals daily, and follows up with phone calls, Go To Meeting recordings, and submitting applications.

· Maintains and utilizes Square Space for schedule organization and meeting with participants on SNAP referrals and applications.

· Stays informed about changes to the SNAP program, policies, and procedures; seeks out ongoing training to ensure up-to-date knowledge of program requirements. Tracks monthly progress to goals using Tableau and other dashboard reports.

Community Outreach & Neighbor Engagement for All Programs

· Attends community outreach events, fairs and forums; may provide training and/or educational presentations at these events to promote SNAP and other Community Food Share programs. Some evening and weekend work will be required to attend community events.

· Visits partner organizations several times a month to conduct outreach at their locations and promote SNAP application assistance and offer other resource referrals.

· This position also supports our survey work, data collection, community listening sessions and interviews. Translation support may be required.

· Provides support with written and verbal translation for English-Spanish. Provides simultaneous interpretation during listening sessions (training and equipment provided).

Information/Records Administration

· Keeps all participant information and data confidential. Responsible for data entry and data maintenance in the Community Connect (CC) and Service Insights on Meal Connect (SIMC) databases.

· Works with the Community Centered Senior Research Analyst as needed to ensure data accuracy and timely data entry.

· Compiles participant data and other information as requested. Maintains weekly list uploads to both Slick Text and Mail Chimp.

· Assists with technology transitions, record keeping and file organization. Responsible for filing paper enrollment forms and removing old forms according to the filing system.

· Executes administrative tasks and general office duties for the Collaborations Team, which may include preparing and sending correspondence and mailings, updating documents, data entry, photocopying, filing, and other light clerical work.

Education and Experience

· Graduation from high school or GED required. College education preferred.

· Bilingual (English and Spanish) with ability to speak read, write and translate fluently required.

· 3 to 5 years’ experience as an administrative or executive assistant, experience in social services, or relevant customer service preferred. Previous non-profit and people-facing experience preferred.

· Experience with de-escalation and trauma-informed care strongly preferred.

· Experience in databases, data management and record-keeping.

· Demonstrated written and interpersonal skills.

· Must possess a valid Colorado Driver’s License and maintain an acceptable MVR.

Skills and Abilities

· Expert data entry skills.

· Ability to use computer programs.

· Ability to efficiently learn new computer programs.

Physical Demands

This position is primarily an office/administrative position where being sedentary is required up to 75% of the time. While performing the duties of this job, the employee is regularly required to sit and/or stand for long periods. Employee is frequently required to reach with hands and arms. Employee may be required to bend, kneel, crouch, crawl, push, pull, stoop, climb stairs and ladders, balance, walk for extended periods of time; use hands to finger, grasp, handle, or feel; reach with hands and arms above the shoulder; be able to talk; and hear with or without aid. The employee may occasionally lift, leverage, and/or move up to 40 pounds repetitively. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, color vision, distance vision and ability to adjust focus.

Remote Work Eligibility: This position is classified as being ineligible for remote work as the essential duties of this position must be performed within the warehouse facility. (TEAM APPLE)

Employees serving in public facing positions may be required to wear a mask and practice social distancing at certain mobile, donor, or agency facilities regardless of vaccination status. While this is not a requirement of Community Food Share, it may be a requirement of the donor business, agency, or facility where we perform our work. Work Environment

Community Food Share operates in a working warehouse environment. While performing the duties of this job, the employee may be exposed to wet and/or humid conditions and moving equipment. The employee may be exposed to high, precarious places; outside weather conditions; and extreme cold in the walk-ins. The noise level in the work environment is usually moderate but may be loud with machinery and equipment in operation.

When attending Mobile Pantries, the employee will be near vehicles that are turned on and in motion during drive-through pantry distribution. Outside weather conditions can include: snow, rain, poor air quality and/or heat.

Pay for this position is between $22.50 and $24.50 per hour.
