Concordia University is needing a Gift and Data Integrity Specialist who wants to be a part of this mission. The main campus (and this role) is located in Seward, Nebraska. Position Purpose:
This position provides clerical support to the Senior Director of Advancement Operations and the Gift Processor, and also supports other related Institutional Advancement projects under the immediate supervision of the Director of Advancement Operations. This is a part-time position.
Responsibilities:
1. Maintains Banner database integrity:
- Creates new constituent records.
- Updates records including biographical information, address moves and contact changes.
- Researches constituent record changes to assure data integrity.
- Assists the Gift Processor with synchronizing and entering data from other offices' database modules into Advancement database module. (Alumni Rollovers, Attrition Rollovers and Parent Rollovers - 8 Rollovers per year).
- Reviews results flagged for human review fy the NCOA Address Scrubs and updates records as necessary. (5-6 times per year)
- Updates LCMS church and school contact information in database annually with data provided by Synod.
- Corrects duplicate record information in Advancement database.
- Monitors and distributes daily and weekly integrity reports.
- Obtain the hard Banner email list from Marketing monthly. Update Banner record with email and send out post cards
2. Assists with gift entry and receipting:
- Opens incoming mail in gift envelopes, distributes mail.
- Preps all gifts by coding incoming gifts for gift processing (Donor ID, check number, amount, designation code, solicitation code and associated ID).
- Maintains the "Gift Received Log" to track timeliness of gift entry (enter gifts received, date processed and reconciles total processed with total reported on Daily Gift Report).
- Coordinates with the Business Office the deposit of daily gift receipts.
- Assists the Senior Director of Advancement Operations with securing adequate documentation for gifts and pledges as required by the audit.
- Assists Gift Processor in writing memorial and honorarium cards.
- Indexes scanned images of gifts, pledges and associated documentation to the donor's gift record using Xtender (BDMS).
- Assists with printing donor receipts, thank you letters and assembles for mailing if student worker is absent.
- On a monthly basis, maintains records, prints and mails thank you letters to donors who participate in Thrivent Choice Program.
- Monitors and assists with preparation and mailing of new donor packets.
3. Supports Clerical Processes:
- Provides general clerical support including answering phones, filing, distributing mail, and preparation of any outgoing mailings.
- Assists the Senior Director of Advancement Operations with the Student Scholarship Thank You project and annual endowment report project.
- Prints and mails the thank you letters for gifts of Tuition (TUITS). This is coordinated with the Financial Aid Office.
- Assists Gift Processor and Concordia Fund Coordinator with clerical work associated with the Phonathon (updating constituent contact information and recording contacts in Banner database).
- Monitors and orders supplies for the office and keep copy room organized.
- Assists in training new staff and student employees in Banner.
- Other duties as assigned.
Qualifications:
Education-
- High school graduate; additional business or technical school training helpful.
Experience-
- Two years of previous office and clerical experience.
- Computer systems experience related to sales/gift tracking (ACT or Banner software) desired.
Proficiencies-
- Proficiency in use of software applications including Microsoft applications, databases, spreadsheets and word processing required.
