We are seeking a highly organized, proactive Production Coordinator with 3 years of experience supporting executives, clients, and production teams in a fast-paced creative environment. Key Responsibilities
This role supports the Senior Production Coordinator and broader production team with the following:
- Plan, organize, and manage production schedules across multiple projects
- Assess project and resource requirements, including location scouting, equipment rentals, and crew needs
- Create production quotes and follow up with clients and project managers to ensure clarity and timely approvals
- Serve as the primary liaison between clients and crew, gathering all project details and ensuring clear communication prior to each shoot
- Manage calendars and prepare materials and agendas for meetings, ensuring crews are fully briefed and prepared
- Coordinate all travel arrangements and create detailed travel itineraries; provide follow-through support throughout each project
- Ensure all shoots are fully set up in advance, including signed contracts, confirmed crews, insurance documentation, and finalized equipment lists
- Monitor and help ensure compliance with health, safety, and insurance requirements
- Contact, place, and confirm crew members for upcoming productions
- Draft and manage professional business correspondence, including time-sensitive and urgent communications
- Prepare detailed reports and production materials using PowerPoint and Excel
- Maintain organized digital and physical file systems, ensuring efficient document management
- Keep office and shared workspaces organized to a high professional standard
- Provide research and administrative support as needed to support ongoing productions
Required Skills & Qualifications
- Minimum 3 years of experience in production coordination, executive support, or a related role
- Self-starter mentality with strong initiative and an entrepreneurial approach to problem-solving
- Ability to work independently, take ownership of tasks, and follow projects through from start to finish
- Strong multitasking skills with the ability to pivot quickly in a dynamic production environment
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Office and Google Workspace, with strong PowerPoint and Excel skills required
- Familiarity with production terminology and workflows is a strong plus
- Knowledge of social media platforms and WordPress is a plus
- Fast learner with a collaborative, can-do attitude
- Occasional use of a personal vehicle to support production needs may be required
