POSITION OVERVIEW:
An employee in this class performs routine specialized departmental duties, which follow well-established methods and procedures. They receive instructions and close supervision on new assignments, although regular assignments may be performed more independently and some initiative and limited judgment may be utilized as experience is gained. Work may involve the operation of standard office equipment incidental to regular assignments, but under circumstances, which do not necessitate previous vocational training in their use. Work may include contacts with the public under conditions requiring the use of tact and initiative. All work is subject to close supervision and is reviewed by a supervisor for both content and accuracy. All monies and documents processed in the Recorder of Deeds office are subject to county and state audits.
EDUCATION/EXPERIENCE:
Any combination equivalent to education and experience that provides the required skill and knowledge is qualifying. Typical qualifications would be equivalent to:
Education equivalent to completion of the twelfth school grade and three (3) years of experience in clerical, typing and/or secretarial work. Appropriate formal post high school training may be substituted for the required experience.
EMPLOYMENT STANDARDS:
To perform this job successfully, an individual must possess the ability to work independently on routine administrative tasks; exercise good judgment, courtesy, and tact in receiving office callers and make proper disposition of problems; understand and follow oral and written instructions; demonstrate competence, mental alertness, and clerical aptitude; thoroughly grasp the principles and practices of business arithmetic and secretarial duties that pertain to this particular office; and have considerable knowledge of modern office practices, procedures, and equipment to include operation of a personal computer with a variety of computer software programs. The successful candidate must be able to concentrate with numerous distractions. The successful candidate will have knowledge of, or the ability to learn, assigned clerical tasks readily and to adhere to prescribed departmental procedures, knowledge of County rules, regulations, procedures, and functions; the ability to establish and maintain effective working relationships with other employees; and the ability to communicate effectively with the general public, co-workers and other government agencies; and must be bondable.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
An employee in this classification is responsible for performing a wide variety of assignments carried out in accordance with The Recorder of Deeds’ practices, procedures and precedents, specific goals and objectives, and any applicable legal standard and regulations. Specific job duties include the following:
· Waiting on the counter and customers in a prompt and courteous manner
· Answering the telephone and faxing
· Operating the cash drawer and processing all documents that comes in over the
counter, by mail or other means. This includes Mine Maps, Highway Plans and
Plat Maps
· Scanning Plat Maps and Highway Plans in the Map Room
· Sorting and opening mail and processing the same
· Scanning documents as needed
· Preparing the daily deposit-Accounting as needed
· Special office projects
