Event Coordinator (Part-Time, Hybrid - 5 Weeks)
Start Date: Late February
Our client, a research organization focused on how major societal changes are reshaping America, is seeking a part-time Event Coordinator for a 5-week assignment. This is a hands-on, logistics-focused role supporting promotions and communications, with an emphasis on in-person event setup, coordination, reporting, and day-of execution. The role is ideal for someone flexible, dependable, and comfortable working onsite as needed.
Key Responsibilities
- Support planning and execution of internal events
- Set up and break down event spaces (chairs, tables, materials, signage)
- Prepare event rooms and common areas before attendees arrive
- Manage RSVP reports, track responses, and generate basic spreadsheets
- Handle event-related email communications
- Place catering orders and manage delivery logistics
- Stock and organize the events kitchen with snacks and supplies
- Provide onsite day-of support and assist with last-minute needs
- Respond to staff event requests as they arise
Requirements
- Experience in event support, marketing, or communications
- Comfortable with basic tech tasks (spreadsheets, downloads, email distribution)
- Organized, proactive, and able to shift priorities quickly
- Willing to work onsite multiple days per week in a downtown office
- Physically able to lift and move items up to 20-30 lbs
- Strong interpersonal skills and a service-oriented mindset
- Flexible availability, including on-call support during peak periods
Work Structure
- Short-term assignment (5 weeks)
- Hours vary by week based on event volume (approximately 2 hours per day when not leading up to an event)
- On-call availability required for 2 hours per day
- Onsite presence required for event preparation and execution
