Job Description: We are seeking a detail-oriented and experienced Accounts Receivable Specialist to join our finance team. The ideal candidate will be responsible for managing the accounts receivable function, ensuring accurate and timely invoicing, and monitoring customer payments. The Accounts Receivable Specialist will play a crucial role in maintaining positive relationships with our clients and optimizing cash flow for the company.
Key Responsibilities:
- Generate and send accurate and timely invoices to clients based on contract terms and project milestones.
- Monitor accounts receivable aging reports and follow up on overdue invoices promptly.
- Communicate with clients to resolve billing discrepancies and ensure timely payment.
- Reconcile accounts receivable ledger to ensure all payments are accounted for and properly posted.
- Prepare and distribute regular reports on accounts receivable aging, cash collections, and other relevant metrics to management.
- Collaborate with the sales and project management teams to address client billing inquiries and concerns.
- Identify opportunities for process improvements and implement best practices to streamline the accounts receivable process.
- Assist with month-end close activities related to accounts receivable, including journal entries and reconciliations.
- Maintain accurate records of customer payments and credits in the accounting system.
- Stay updated on industry regulations and best practices related to accounts receivable management.
Ideal Qualifications:
- Bachelor's degree in Accounting, Finance, or related field preferred.
- Minimum of 2 years of experience in accounts receivable or related finance roles, preferably in an engineering or construction company.
- Strong understanding of accounting principles and practices, particularly related to accounts receivable.
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and internal stakeholders.
- Detail-oriented with strong analytical and problem-solving skills.
- Ability to work independently and prioritize tasks effectively to meet deadlines.
- Experience with process improvement initiatives and implementing best practices is a plus.
- Knowledge of contract billing terms and project accounting concepts is preferred.
